Job Summary

The Guest Experience Lead is responsible for establishing a warm, welcoming, and professional atmosphere for all clients, executives, and staff members. They will oversee a team of ambassadors to ensure we are delivering the highest standards in service and consistently maintaining customer satisfaction, ensuring the space is optimized and running smoothly.

RESPONSIBLITIES:

Manage a team of reception and lobby ambassadors across multiple floors

Support reception and lobby desks on all functions including but not limited to greeting, escorting, security, wayfinding, technology, etc.

Coordinate luggage drop-off and pick-up

Manage the badge process for employees and visitors according to client standards

Assist with creating a collaborative environment amongst team through events and personal introductions.

Speak knowledgeably about the office, building, surrounding areas, transportation, local restaurants, and other points of interest.

Ensure the cleanliness of all office space to include reception area, open work areas, conference rooms, lobby, and pantries.

Responsible for the restocking and ordering of the office supplies

Knowledge of set up and tear down for all onsite catering

Proactive, timely and clear communication to team and leadership, especially when alerting changes and needs to support successful front desk and floor services functions.

Communicate and interact effectively with all other departments including the building management company.

May serve as point of contact for external vendors/service providers.

Maintain a strong awareness of business activity in the operations across multiple floors

Assists with the training of new hires, as well as the ongoing training of current staff, to ensure a consistent high level of professionalism among team members

Champions development, performance evaluations, succession planning, and has focused on building single-unit management skills; have full understanding of all roles within operation; supports the team with tools and systems

Provides recommended new or updated policies and procedures pertaining to the various operations managed by Rapport in tandem with client approval

Ensures that the Team is trained in executing emergency procedures for which they are responsible, coordinating such training with the client

Manage the badge process for employees and visitors according to client standards

Ensures all team members adhere to client approved attire

Assist in making space reservations using an online tool and escorting guests throughout the office

Observe floor operations, user behaviors and suggest strategic changes to continue enhancing the experience on the floor.

Manage the email distribution list and ensure all queries are responded in a timely manner, escalate all service-related matters to the onsite client.

Flexibility to work early mornings, late evenings, weekends and holidays as operations need
