Under the direction of the Senior Manager of General Administration, Facility Maintenance Associate 1 will coordinate and expedite the operations of the General Administration Department. As the primary contact, Facility Maintenance Associate 1 will work closely with all branch offices in North America in the areas of asset management, preventative maintenance scheduling, and material and building repair requests. You will also work with a wide range of internal corporate and branch team members and external vendors.

  • Drive all aspects of the facilities maintenance supporting all branch offices in North America.
  • Coordinate all maintenance, repairs, and operation programs including but not limited to (Preventive Maintenance, compliance management, inspections, zone maintenance & space management).
  • Confers with branch management and other personnel regarding function, scope, and operational requirements of proposed buildings' space utilization, which is needed to prepare program statements, justifications, and space layouts.
  • Prepares reports and documents for proposed branch relocation projects and other construction or alteration projects, including leased properties.
  • Reviews preventative maintenance reports from branches and conducts routine follow-ups to ensure various systems are running efficiently.
  • Collaborates with other branch offices as necessary to assist them in repair orders.
  • Respond to facility operation emergencies such as power outages, pipe bursts, freezer/ cooler issues, etc.
  • Prepare and present monthly comprehensive and data-driven maintenance reports to leadership.
  • Partner with various government agencies to ensure facilities are code-compliant.
  • Coordinates emergency response or crisis management activities, develops and maintains liaisons with local emergency management and other entities to facilitate plan development, and response effort coordination, and assists Manager with training initiatives.
  • Maintains and updates various business licenses in North America.
  • Receive, delegate, and prioritize facilities-related service requests. Coordinate with internal teams and external vendors to address issues promptly and efficiently.
  • Keeps open communication channels with associates by answering questions and explaining policies and procedures.
  • Review inspection reports from branch offices and follow up on maintenance status and routine preventative maintenance with outside contractors and other 3rd party vendors/suppliers and consultants/risk management companies.
  • Conducts informal training as required from branch personnel to ensure proper reporting procedures are followed regarding facility maintenance.
  • Conduct regular audits of office spaces and furniture to ensure cleanliness, functionality, and compliance with company standards. Take appropriate actions to address any deficiencies identified.
  • Support branch managers with various tasks and projects as required, contributing to the overall effectiveness of the facilities team.
  • Perform other duties as assigned.

Experience/ Training/ Education

  • Associate degree in Business, or equivalent experience; technical certifications preferred
  • 1 to 4 years of previous experience in facilities coordination, or related roles.

Knowledge, Skills, and Ability

  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks and manage multiple responsibilities effectively.
  • Physical capability to lift and move objects weighing up to 50 lbs.
  • Excellent communication and interpersonal skills.
  • Flexibility to travel and support multiple office locations as needed.
  • Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Add, subtract, multiply, and divide into all units of measure, using whole numbers, common fractions, and decimals.
  • Effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Must be capable of working with vendors and holding them accountable for high levels of service including availability, delivery, quality, and workmanship.
  • Able to write reports, business correspondence, and procedure manuals.
  • Familiarity with fire safety regulations and procedures.
  • Successfully engage and lead individual and team discussions and meetings.
  • On-site at our Corporate office in Santa Fe Springs, CA

Working Conditions:

Usually works 40 hours a week in an office setting; however, some work shifts may vary or ask to work overtime during busy periods. May spend time in the warehouse.
