Job Summary:The primary purpose of the Health Information Manager position is to be responsible for all health information and medical record activities. To ensure appropriate staffing quantities and quality to provide excellent patient care. Plans and implements release of information, health information and medical record strategies and operations, enhances systems and processes, and manages all teams of Health Information Coordinators, making the most effective and efficient use of staff, vendor and technology resources. The Manager will conduct needs assessments, capacity planning, and cost/benefit analyses; identify and evaluate opportunities for automation in processes; define user requirements; and establish processes, production, productivity, quality, and customer-service standards while ensuring regulatory and legal requirements are met. Essential Duties and Responsibilities:Develops and implements methods and procedures for release of information, production of forms, records and reports and the receiving, storing, processing, and communication of patient data. Collects, analyzes, and summarizes team and vendor performance data and trends; and contributes information and analysis to organizational strategic plans and reviews. Prepares and presents management reports on team and vendor production activity, problems, and resolution. Develops, administers, and reports quality indicators for the department. Interprets company policy to employees and enforces company policy and practices. Manages the activities of the team and vendors. Works in collaboration with operations for workflows needs. Establishes or adjusts work procedures to meet productivity goals. Recommends and implements innovative strategies for workflows. Establishes department policies, practices, and procedures to ensure timely and proper services are provided by the organization. Provides planning, organizing, and budgeting for the department. Meets financial objectives by estimating requirements, preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions. Hires, trains, coaches, counsels, and evaluates performance of direct reports. Communicates job expectations; monitors, appraises, and reviews job contributions; evaluates employee performance, plans and reviews compensation actions, and recommends or initiates promotions, transfers, and disciplinary action; and enforces policies and procedures. Manages time cards and time reports for all direct reports. Create and update training plan for coordinators. Recommends measures to improve methods, and suggests changes in working conditions to increase efficiency. Works closely with vendors to present new features and troubleshoot issues within the systems. Maintains professional and technical knowledge by tracking emerging trends in health information, release of information and medical records workflow; attends educational workshops; reviews professional publications; establishes personal networks; benchmarks state-of-the-art practices; and participates in professional societies. Communicates with clinicians and others regarding billing and documentation policies, procedures and regulations. May attend depositions and appear in court in response to subpoenas, court orders, and notarize medical records. Create process for management and oversight of attorney requests, subpoenas for release of information and legal scheduling for depositions or court appearances. Oversees the maintenance of accurate patient records; analyzes patient charts, assures accuracy and completeness, remedies errors, and coordinates record investigations and reconciliations. Compliance Responsibilities Manages the daily operations of the health information team ensuring that operations are consistent with Federal law (e.g., Stark and HIPAA). Qualifications: Required: Health Information or Medical Record management experience of 5+ years required. Data analysis and presentation experience required. Commonwealth of Virginia Notary Preferred: Health Information Management Degree or similar preferred. Pre-Employment background check, drug screen and TB test required for all new hires.
