Category Food Services Position Health & Nutrition Services(HNS) Administrative Assistant Full-Time/Part-Time Full-Time Description Purpose:The Health & Nutrition Services (HNS) Administrative Assistant is responsible for assisting management with administrative tasks including, but not limited to, ordering, inventory, data entry, filing, etc. and required to work well with employees, contractors, and visitors in a professional and cheerful manner.Summary of work activities, tasks and responsibilities:
- Responsible for performing administrative functions including distributing mail purchase orders, inventory tracking, stocking supplies, other kitchen and HNS department support.
- Assists HNS management with organizing and administrative tasks in relation to scheduling health screening services with partners, data entry (Child Plus), schedule maintenance and inventory of health equipment (such as screening machines) and nutrition (such as freezer/cooler) equipment , assistance in updating policies, procedures, manuals, and administrative tools.
- Prepare and maintain a variety of reports (Child Plus), records and files relating to students regarding health conditions, including those of a confidential nature.
- Work with the HNS Specialist to increase community and parent participation in the HSAC meetings. Create information flyers for HSAC and include updated Head Start Child Physicals/Special Diet Forms to the healthcare providers in community, personal invitations and follow up contact with parents.
- Answers inquiries or directs calls where necessary
- Coordinate facility and departmental needs, purchase supplies, materials, services or equipment as needed
- Maintain office memos and informative postings
- Operate technology, systems, and software such as voicemail systems, copy/scanners, and MS Office

- Must be able to work and communicate effectively with staff to achieve goals and meet timelines as set by the Health & Nutrition Services Specialist & Food Service Manager
- Ability to work independently to accomplish goals.
