Essential Functions:
  • Administrative Support:
    • Manage and maintain schedules, appointments, and communications for administrators.
    • Prepare, edit, and distribute correspondence, reports, and other documents as required.
    • Handle sensitive information with confidentiality and professionalism.
  • Clerical Duties:
    • Answer phones, route calls, and take messages as needed.
    • Greet and assist visitors, students, and staff in a professional manner.
    • Maintain accurate and organized filing systems, both digital and physical.
  • Staffing Coordination:
    • Secure substitute teachers as needed and maintain a roster of available substitutes.
    • Ensure substitute assignments are communicated effectively and appropriately documented.
  • Transportation Coordination:
    • Serve as the transportation coordinator, managing bus schedules, routes, and communications.
    • Act as the primary contact for transportation inquiries and resolve issues promptly.
  • Equipment and Maintenance:
    • Maintain office equipment such as copiers and printers.
    • Coordinate repairs and service requests with vendors as needed to ensure functionality.
  • Communication:
    • Serve as a liaison between parents, staff, and administrators.
    • Disseminate district or school-wide communications, newsletters, and announcements.
  • Records and Reporting:
    • Maintain student and staff records, ensuring compliance with district policies and legal requirements.
    • Assist in data entry, attendance tracking, and reporting.
  • Financial and Budgeting Tasks:
    • Process purchase orders, invoices, and reimbursements.
    • Track department or building budgets under the supervision of the administrator.
  • Support for District Events and Operations:
    • Coordinate logistics for school events, meetings, and professional development sessions.
    • Assist with student registration and enrollment processes.
  • General Office Management:
    • Order and maintain office supplies and equipment.
    • Ensure the office environment is organized and welcoming.
  • All Duties As Assigned
  • Qualifications:
    • College degree; additional training in office management preferred.
    • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
    • Strong organizational and multitasking skills.
    • Excellent communication and interpersonal abilities.
    • Experience in an educational setting is a plus.
    Work Schedule: This is a full-time position, following the school district calendar (10 months).
