Job Description / Essential Elements:DIRECTLY RESPONSIBLE TO: School Administrator or designee. SUMMARY OF POSITION: To perform, post, update, and maintain attendance records and related reports; to contact students, parents, counselors, and teachers regarding attendance related matters. Employees in this classification receive general supervision within a framework of standard policies and procedures. Employees in this classification may oversee and supervise students assisting in attendance accounting tasks. This job class exercises responsibility for the accurate compiling and preparation of attendance accounting information, data, and related reports. ESSENTIAL DUTIES:
  • Performs daily attendance record keeping activities required to maintain accurate school attendance records, posting absences to a variety of cards, forms, and data files according to prescribed District procedures
  • Greets and contacts students and parents explaining established procedures answering questions, providing information and general assistance related to student attendance activities, issuing a variety a required forms, and enrolling and de-enrolling students
  • Assists administration and counseling with student database and other related tasks
  • Waits on counter and issues admit slips to students
  • Receives and confirms student attendance information by phone from parents, guardians, and staff noting necessary data to incorporate into attendance record keeping systems
  • Acts as information source to students, teachers, parents, and administrators regarding attendance procedures and requirements
  • Assists registrar with various clerical duties within the school office as assigned
  • Answers telephone, takes messages and/or refers callers to appropriate resources
  • Updates attendance files and computer records on a regular basis deleting and adding student information and notifying appropriate staff of variances in attendance patterns; processes adds/drops
  • Maintains confidentiality of student/operational records as assigned
  • Types various letters, memos, forms associated with attendance and/or school office functions; prepares related attendance reports
  • Creates and maintains computerized data files; enters, updates, and prints a variety of data related to student enrollment, grades, registration, etc.
  • Sets up automated phone system to contact parents regarding absences
  • Performs/assists with a variety of clerical support tasks such as collecting student fees, operating intercom message equipment, requisitioning supplies, distributing mail, etc., as required
  • May administer basic First Aid in accordance with established District policies
  • May perform registrar duties as assigned
  • Performs other duties as required
KNOWLEDGE OF:
  • Organization, policies and procedures of the assigned department or program.

  • California State reporting criteria, Education Code and other applicable laws.

  • Learn and effectively apply attendance accounting methods, techniques, procedures, and policies.
  • Operate computer equipment, operating systems, and variety of computer applications and programs.
  • Establish and accurately maintain a variety of complex records and files and prepare related reports.
  • Meet schedules and timelines.
  • Perform accurate mathematical calculations using basic addition, subtraction, multiplication, and division.
  • Understand and follow oral and written directions.
  • Establish and maintain cooperative and effective working relationships with others.
  • Accurately type at a rate required for successful job performance (45 WPM).
  • Perform duties effectively with many demands on time and constant interruptions.
EDUCATION AND EXPERIENCE: Any combination equivalent to: graduate from high school, or two years responsible clerical experience; preferred experience in education. PHYSICAL DEMANDS, ADA REQUIREMENTS, ENVIRONMENT: Sit for extended periods at a desk, conference table, or in meeting rooms. Frequently stand and walk; bend, stoop, and reach overhead. Normal manual dexterity and eye-hand coordination. Physical agility to lift and move up to 25 pounds. Repetitive hand activities within close reach, such as keyboard, mouse, handwriting, files and phone (continuously), and printed matter with or without visual aids. Verbal communications including the ability to speak and hear at normal room levels. Ability to use office equipment including computer terminals, telephones, calculators, copiers and FAX. District office and school environment; subject to many demands on time and constant interruptions.
