Position Overview:

The Hospitality Associate plays a vital role in the seamless operation of our office environment, ensuring every aspect of office services is executed with the highest attention to detail. This position is integral in fostering a welcoming and professional atmosphere for both employees and guests. The Hospitality Associate will provide exceptional service across a range of functions, including hospitality, mail handling, meeting support, and facilities maintenance, while upholding Forrest Solutions' commitment to excellence.

Essential Job Functions:

  • Client Experience & Hospitality:
  • Act as the face of Forrest Solutions, delivering top-tier hospitality to all visitors and staff.
  • Ensure all office spaces, including meeting rooms and common areas, are impeccably maintained and presented.
  • Greet and assist guests with a high level of courtesy, anticipating needs, and providing seamless support to enhance their experience.
  • Support the clients hoteling culture by assisting visitors with workspace arrangements and managing room occupancy efficiently.
  • Proactively address and resolve any concerns or inquiries from clients, ensuring a high level of satisfaction.
  • Attention to Detail in Operations:
  • Execute daily tasks with precision, ensuring all office services, including mail distribution, reprographics, and meeting room setups, are performed to exacting standards.
  • Maintain meticulous records of all operations, ensuring accuracy in document reproduction, mail processing, and inventory management.
  • Regularly inspect office areas for cleanliness, organization, and functionality, making adjustments as necessary to maintain a pristine environment.
  • Assist with interoffice moves, including furniture relocations and meeting setups, ensuring seamless transitions and optimized space utilization.
  • Facilities Support:
  • Contribute to facilities maintenance by performing light carpentry, fixture maintenance, and ensuring the sanitization of designated areas.
  • Monitor and replenish office supplies, ensuring all necessary materials are available and properly stored.
  • Collaborate with the facilities team to ensure all signage is current and appropriately placed, contributing to the professional appearance of the office.
  • Mail & Print Services:
  • Oversee mail services, including sorting, distribution, and processing of outgoing mail with the utmost accuracy.
  • Provide high-quality reprographic services, including copying, binding, and quality control, ensuring all materials meet client specifications.
  • Maintain and operate all mailroom and print equipment, ensuring they are in excellent working condition.
  • Process Improvement & Reporting:
  • Collaborate with the client and Forrest Solutions team to identify opportunities for process improvements that enhance operational efficiency.
  • Regularly update the Site Operations Manual/Playbook, ensuring documentation is current and reflective of best practices.
  • Participate in leadership and management discussions, offering insights and recommendations to improve service delivery and client satisfaction.

Qualifications:

  • Ability to manage multiple tasks simultaneously while maintaining accuracy and efficiency.
  • Experience in a similar role within an office environment is preferred.
