Job Description:
Job Summary:The Receptionist/Office Concierge serves as the first point of contact for visitors and staff, ensuring a welcoming and professional environment. Responsibilities include managing reception operations, handling calls and messages, coordinating visitor escorts, overseeing package delivery, and maintaining logs and email inboxes. The ideal candidate will have a polished front-desk demeanor, exceptional customer service skills, multitasking abilities, and administrative experience. Hotel/concierge experience is strongly preferred.Key Responsibilities:
  • Reception Duties:
    • Answer and direct incoming calls, take messages, and ensure follow-up as needed.
    • Greet visitors warmly, verify appointments, and escort them to designated conference rooms.
    • Maintain detailed logs of visitors, package deliveries, and other reception-related activities.
  • Office Support:
    • Act as the office lead in the absence of the site manager.
    • Monitor and manage the reception email inbox, responding or redirecting messages promptly.
    • Report complaints or maintenance issues to the site manager or appropriate department.
  • Package and Mail Handling:
    • Log and organize package deliveries, ensuring accurate records and timely distribution.
  • Customer Service:
    • Provide an exceptional guest experience, drawing on previous hotel/concierge experience.
    • Maintain confidentiality and professionalism in all interactions.
  • Administrative Support:
    • Assist with administrative tasks as needed, leveraging strong organizational and communication skills.
  • Other Duties:
    • Lift up to 50 pounds with assistance available for heavier items.
  • Qualifications:Experience and Skills:
    • Previous experience in hotel/concierge roles or similar front-desk positions.
    • Exceptional customer service and communication skills.
    • Ability to multitask in a fast-paced environment.
    • Strong organizational and administrative abilities.
    • Demonstrated ability to maintain confidentiality.
    Physical Requirements:
    • Ability to lift and move items up to 50 pounds with assistance for heavier loads.
