Job Summary:The Receptionist/Office Concierge serves as the first point of contact for visitors and staff, ensuring a welcoming and professional environment. Responsibilities include managing reception operations, handling calls and messages, coordinating visitor escorts, overseeing package delivery, and maintaining logs and email inboxes. The ideal candidate will have a polished front-desk demeanor, exceptional customer service skills, multitasking abilities, and administrative experience. Hotel/concierge experience is strongly preferred.Key Responsibilities:
Reception Duties:- Answer and direct incoming calls, take messages, and ensure follow-up as needed.
- Greet visitors warmly, verify appointments, and escort them to designated conference rooms.
- Maintain detailed logs of visitors, package deliveries, and other reception-related activities.
Office Support:- Act as the office lead in the absence of the site manager.
- Monitor and manage the reception email inbox, responding or redirecting messages promptly.
- Report complaints or maintenance issues to the site manager or appropriate department.
Package and Mail Handling:- Log and organize package deliveries, ensuring accurate records and timely distribution.
Customer Service:- Provide an exceptional guest experience, drawing on previous hotel/concierge experience.
- Maintain confidentiality and professionalism in all interactions.
Administrative Support:- Assist with administrative tasks as needed, leveraging strong organizational and communication skills.
Other Duties:- Lift up to 50 pounds with assistance available for heavier items.
Qualifications:Experience and Skills:
- Previous experience in hotel/concierge roles or similar front-desk positions.
- Exceptional customer service and communication skills.
- Ability to multitask in a fast-paced environment.
- Strong organizational and administrative abilities.
- Demonstrated ability to maintain confidentiality.
Physical Requirements:
- Ability to lift and move items up to 50 pounds with assistance for heavier loads.
