House Manager/Executive Personal Assistant

We are seeking a smart, dedicated, service-driven, experienced, and professional Private Household Manager/Assistant to support a High Net Worth (HNW) family based in Newport Beach.

The House Manager's role involves streamlining, overseeing, and comprehensively managing the operations of a private residence, always maintaining the highest standards. The ideal candidate must remain calm and perform effectively under pressure, with strong organizational skills, proven home management expertise, attention to detail, and the ability to manage staff and vendors assertively.

Daily Hours are likely to be 7 am - 3pm and as needed for nights/weekend events. Must be flexible if hours are adjusted at times to accommodate families schedule as things might arise from time to time.

Candidate MUST have proven experience successfully working with HNW families and large family homes in Orange County, CA.

Responsibilities:

  • Develop household Standard Operating Procedures (SOPs) and manuals containing contact lists and tasks.
  • Hire and train housekeepers, oversee their work, and evaluate performance.
  • Create a system to keep things tidy and easy to find. Maintain a weekly schedule to ensure drawers stay organized.
  • Complete projects that require strong organization skills and time management.
  • Manage the daily schedule, ensuring optimal time usage and timely completion of tasks.
  • Coordinate and oversee maintenance and repairs, maintaining a maintenance schedule and tracking expenditures.
  • Manage the household budget for purchases and repairs.
  • Bridge communication gaps to ensure all tasks are completed efficiently.
  • Track and order household supplies such as groceries, toiletries, and cleaning products.
  • Manage technical equipment /troubleshoot as needed and liaise with IT support when necessary.
  • Ensure security and safety protocols are in place and adhered to.
  • Manage holiday decorations, assist planning events, book vendors, Oversee and manage vendors prior to as well as day of event.
  • Keep organized with assigned tasks.
  • Order groceries, oversee food quality, and maintain pantry stock.
  • Conduct regular property inspections
  • Coordinate appointments, reservations, and travel arrangements.
  • Work with corporate Assistant to ensure vehicle maintenance and household calendar updates.
  • Handle administrative tasks such as bill payments, calendar schedule, correspondence, and mail.
  • Receive, organize, and manage daily packages.
  • Run errands, purchase gifts, handle any tasks as they arise.
  • Assist with packing and unpacking for vacations.
  • Perform miscellaneous tasks around the home, including charging equipment and assisting with childcare on rare occasion.
  • Keeping house organized and implement efficient system, ensure staff is trained to abide by expectations.
  • Manage staff, be able to find staff as needed to ensure household is running at the level needed for success.

Qualifications/Skills:

  • Proven experience working with HNW families and have familiarity with local services.
  • Strong attention to detail and dedication.
  • Calm demeanor with the ability to work under pressure.
  • Proactiveness and flexibility.
  • Excellent organizational and communication skills.
  • Discretion and professionalism at all times
  • Ability to multitask and prioritize effectively.
  • Positive attitude and willingness to assist where needed.
  • Subject to a background check.
  • Must be able to work in the US and have a CA driving license.
  • Computer literate, proficient in Microsoft Office.
  • Able to troubleshoot technical issues as needed.
  • Comfortable & experienced working with children.
  • Strong leadership and organizational skills.
  • Experience in household management.
  • Reliable and tenacious
  • Budgeting and financial management knowledge.
  • Excellent communication and problem-solving abilities.
  • Self sufficient
  • Experience planning/coordinating holiday parties.
  • Longevity at previous jobs and desire to have the same with this role
  • Please note that responsibilities may vary based on individual preferences and household needs, and additional duties may be assigned as necessary.
