**Description**

**Job Purpose:**

This is an administrative position responsible for ensuring that all required electronic documents are collected, filed appropriately, provided a safe, professional, and friendly environment for staff, clients, and guests in person or on the phone.

+ Maintain digital and electronic records of employees.

+ Assist with gathering documents for audits and employee file reviews.

+ Scan employee documentation into the system in an accurate and timely manner.

+ Provide customer service; greets, check in and directs all individuals who enter and leave the Agency as needed.

+ Provide coverage to reception desk on a daily basis.

+ Answer the Agency switchboard in a timely manner and directs calls appropriately.

+ Assist in maintaining on-going security in the Lobby and monitor security cameras.

+ Assist with deliveries to the agency.

+ Prevent the entry of unauthorized people and prohibited articles into restricted areas.

+ Froward voicemails to the appropriate staff.

+ Assist with client transportation pick up or drop-off.

+ Assist in facilitating emergency procedures and emergency drills.

+ Maintain the confidentiality of sensitive client or staff information.

+ Other duties as assigned.

**Qualifications**

**Required Education, Experience, Certifications, Licensure and Credentials:**

1. Ability to respond calmly in emergency situations.

2. Ability to deescalate visitors that may be angry and/or aggressive.

3. Ability to follow procedures and always demonstrate professionalism.

4. Ability to problem solve and think critically to resolve unexpected issues/problems and leverage available resources for that resolution.

**Minimum Required Education:** High School Diploma or GED

**Minimum Required Experience:** Two years of experience in general office/receptionist work operating a phone system in a high traffic environment.

**Physical Requirements, Visual Acuity, and Work Conditions:**

**Physical Requirements:** Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.

**Visual Acuity:** The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal.

**Working Conditions:** None. The worker is not exposed to adverse environmental conditions.

1. The work environment can be busy, noisy, and stressful. This is a high traffic department; there are many people seeking assistance in a wide variety of Human Resources functions.

2. Must be able to sit for prolonged periods of time.

3. Work hours may vary by location but are Monday through Friday between 7:30 a.m. and 4:30 p.m.
