The Job The HR Shared Services Specialist is responsible for optimizing HR operations and delivering an exceptional onboarding experience that sets the foundation for long-term success for all entities. This role focuses on managing the entire onboarding process, including pre-arrival preparations, background checks, I-9 verifications, and first-day readiness, ensuring that new hires feel welcomed, informed, and supported from day one. By collaborating closely with HR, leadership, and employees, this position plays a critical role in HR operations by leading initiatives that are created to deliver a successful and memorable onboarding experience. You Will Own the onboarding process for new hires, ensuring a smooth transition into the company for all entities. Keep onboarding materials such as new hire/manager guides and welcome kits accurate and current. Gather feedback from new hires and managers to continuously improve the onboarding experience while ensuring a consistent and effective onboarding experience. Collaborate with department heads to ensure new employees have the necessary tools, resources, and training. Identify process improvement opportunities and update onboarding documents, checklists, and other relevant materials. Support new hires throughout the onboarding process, answering questions and addressing concerns. Ensure that compliance is maintained with all legal and organizational requirements during the offer and onboarding process (e.g., completion of I-9 forms, background checks). Design, implement, and oversee employee engagement programs and initiatives to enhance employee satisfaction and retention. Collaborate with HR, managers, and leadership to promote a positive company culture that aligns with company values. Develop and manage employee feedback mechanisms, including new hire surveys, focus groups, and suggestion programs. Partner with HR to ensure smooth onboarding, offboarding, employee transitions, ensuring employees feel supported throughout the entire employee journey. Monitor and assess the effectiveness of employee experience initiatives, recommending adjustments or improvements, as necessary. Act as a liaison between employees and leadership to address concerns, feedback, or suggestions. Stay informed about best practices and emerging trends in employee engagement and experience. Audit review of new hire information. Create and maintain new hire and other onboarding reports shared with other business partners. Support Talent acquisition with timely support of executive level candidates ensuring a strong candidate experience. Own our contingent workforce for all entities. This includes onboarding and all supporting initiatives. Own the monthly reporting for all employees to Streamline Verify. This system provides monthly exclusion checks Actively support the achievement of SCAN's Vision and Goals. Other duties as assigned. Your Qualifications
- Bachelor's Degree or equivalent experience in human resources, organizational development, business or related field.
- 3+ years of related experience in human resources operations, employee engagement or a similar role.
- Experience with HR systems such as Workday, ATS, background check vendors etc.
- Experience with employee feedback tools, engagement platforms and HR information systems.
- Data driven mindset with experience in creating and analyzing reports and dashboards.
- Experience in onboarding within a fast paced, dynamic environment (preferred).
- Experience in managing employee engagement or culture-building programs (preferred).
- Knowledge of employee engagement strategies.
- Ability to maintain a positive and welcoming attitude.
- HR knowledge of policies and procedures.
- Strong interpersonal and communication skills with the ability to build relationships at all levels within the organization.
- High attention to detail and strong organizational abilities.
- Understands operational efficiency and identifying ways to streamline processes.

- Base Pay Range: $34.47 to $55.14 per hour
- Work Mode: Mostly Remote (Ideal candidate will be available to go to Long Beach office 2-3 times a month as needed for project work.)
