SummaryThe HR Specialist is responsible for completing a variety of tasks to support the daily operations of the HR Shared Services department, to include onboarding, orientation, pre-employment screening, reporting, auditing and offboarding. This role will be responsible for a portion of the duties and responsibilities listed below at a time, with responsibilities being cross-trained within the team to ensure subject matter expertise throughout all functions. The HR Specialist's overall goal is to support the local HR teams and HRSS functions within scope, throughout the US and Canada.
Duties and Responsibilities - Manage new hire onboarding in ADP for all divisions within the US and Canada to include assigning packages, sending welcome emails, following up on aging assignments, sending status reports, and providing technical support.
- Create and maintain onboarding packages with varying requirements by division, state, and country both in ADP and e-signature system.
- Be prepared to be a backup for weekly new hire orientation, both in-person and virtually.
- Run data quality audits from various systems for compliance and consistency in data, such as employee data quality in HRIS system (SAP Success Factors), monitor workflows and fix issues received from HRIS team.
- Receive tickets in the helpdesk and provide impeccable customer service with detailed, timely responses,.
- Manage labor law poster orders and replacements for the US.
- Process pre-employment screening results, assist the local HR teams with questions and reinitiating orders, provide guidance on the process, and participate in the background check review team.
- Initiate I-9s for new hires who have passed pre-employment screening.
- Process employee changes in the HRIS system, to include job changes, pay changes, title changes, manager changes and terminations.
- Send termination notifications with state-required information to employees leaving the company.
- Monitor the WOTC program for any action needed and follow up on forms needing completion.
- Must support and provide an exceptional customer service experience both internally and externally.
- Compile, review and update the HRSS Standard Operating Procedures Manual.
- Crosstrain and provide backup support to Immigration Specialist.
- Continuously monitor processes and recommend improvement and efficiencies.
- Support other HR areas as needed including special projects.
- When multi-lingual, translate documents and support HR Business Partners when needed.
- Backup for the security badge system in the headquarters office.
Required Educational Background and Work Experience - Four years' prior experience working within human resources. Prefer experience working within an HR Shared Services team and/or for a large employer.
Required Skills and Competencies - Strong proficiency in basic MS Office applications, with intermediate Excel skills required.
- Intermediate mathematical skills necessary.
- Strong verbal and written communication skills with the ability to listen.
- Must have excellent organization and time management skills.
- Able to multi-task across multiple projects with varying deadlines.
- Attention to detail and ability to establish priorities and meet deadlines.
- Ability to maintain a high level of confidentiality.
- Ability to quickly learn the business, company culture and strategy.
- Must be able to deal with ambiguity, cope with change and flexible with shifting priorities.
- Must be a good team player, able to work within a team to cover various functions and support each other when needed.
Preferred Skills and Competencies - Advanced Excel skills
- Experience using HRIS systems (SAP Success Factors and ADP a plus)
Language Skills - English (reading, writing, and verbal) required.
- Spanish speaking and writing are a plus.
