Job Description:

The Associate Experience Specialist is a vital member of the Human Resources Team dedicated to elevating the associate experience across our organization by leading engagement activities that facilitate open communication and promote a positive workplace culture. This role will coordinate associate engagement and recognition initiatives, develop communication tools, and lead the new associate onboarding process for our regional branch locations and support functions in collaboration with our HR Business Partners. Recommends improvement initiatives based on data and feedback provided through engagement activities. Evaluates the effectiveness of associate engagement programs and creates meaningful metrics for associate satisfaction. The ideal candidate will possess exceptional organizational skills, a genuine passion for crafting positive associate experiences, and the ability to communicate effectively across all levels of the organization, making a meaningful impact on associate satisfaction and retention. Responsibilities Associate Engagement, Development, & Coordination:

  • Act as an ambassador for associate experience, collaborating with leaders to promote high levels of engagement and satisfaction among our associates.
  • Collaborate closely with leadership to establish retention and satisfaction goals as well as actions to be taken to achieve these goals.
  • Maintain open communication with our associates and leaders to identify and resolve potential issues that may or are negatively impacting our associates and workplaces.
  • Foster trust and create a motivating environment that inspires associate engagement.
  • Provide opportunities to gather associate feedback through one-on-one interviews, focus groups, pulse surveys, and other channels to support leadership in understanding that current state of associate morale, satisfaction, and engagement.
  • Coordinate engagement activities, analyze data and feedback, generate reports and meaningful metrics to evaluate the effectiveness and recommend improvements or enhancements.
  • Adapt to evolving responsibilities as engagement programs and business needs change to maintain a positive associate experience.
Onboarding and New Associate Support:
  • Facilitate a welcoming and consistent onboarding process for all new associates, ensuring a smooth transition into our organization.
  • Serve as the primary point of contact for new associates, addressing inquiries, and providing guidance on company policies, programs, and procedures.
  • Design and develop effective communication materials and tools to ensure every new associate is provided with consistent education and initial training for their new role.
  • Conduct both online and in-person onboarding sessions, tailored to meet the needs of our associates across our regional branches and support functions.
  • Continuously explore and implement innovative onboarding practices to keep content relevant and engaging.
Associate Life Cycle:
  • Enhances processes and creates programs to continually support a positive associate experience throughout the different stages of the associate lifecycle - attracting, recruiting, onboarding, developing, retaining & offboarding.
  • Collaborate with leadership, HR team members, and managers to align the associate experience with the company's values and goals.
  • Design and implement programs aimed at enhancing associate engagement and satisfaction throughout the entire associate lifecycle.
  • Facilitate training and development initiatives, as well as team-building activities, to enhance collaboration and skill development.
  • Coordinate logistics for associate recognition programs, including service awards and birthday celebrations, ensuring timely distribution.
  • Create engaging communications and presentations for HR initiatives and programs. Partner with the marketing team to develop compelling branding and messaging that will resonate with our associates.
Recruitment Support:
  • Collaborate with HRBPs and hiring managers to identify talent needs and develop effective job descriptions.
  • Coordinate recruitment activities, manage candidate communications, and ensure a positive candidate experience throughout the hiring process.
  • May be tasked with supporting recruitment functions, such as reviewing applications, conducting phone screens to assess qualifications, and scheduling interviews with the hiring team.
  • Organize and participate in job fairs and outreach events to attract top talent, using data and feedback to refine recruitment strategies.
Communication and Collaboration:
  • Establish and maintain timely and effective communication channels between associates and leadership, serving as a communication hub for the organization.
  • Manage associate surveys, focus groups, and one-on-one feedback sessions; analyze results and recommend actionable improvements.
  • Collaborate with branches to address unique engagement needs and goals.
  • Create and update onboarding materials and communications based on data-informed decisions.
  • Assist with internal communications related to HR initiatives and events.
HR Administrative Support:
  • Participate in the design, implementation, and evaluation of HR programs and policies to identify improvement opportunities.
  • Assist the Human Resources Team with administrative tasks, including scheduling meetings, managing company records, and completing compliance and other mandated reporting.
  • Manage HR-related documentation, including employment offers and termination letters.
  • Support the administration of compliance programs including FMLA, EEO, Unemployment, E-Verify, and other relevant regulations.
  • Prepare reports and conduct data analysis related to HR metrics and compliance.
  • Serve as the on-site coordinator for local events, managing all logistical aspects.
  • Support team projects and initiatives as needed.
Requirements
  • Bachelor's or Associate's degree in human resources or another related field is preferred.
  • At least 3 to 5 years of general Human Resources experience.
  • Familiarity with strategies and best practices for promoting associate engagement, fostering a positive workplace culture, and enhancing the associate experience throughout the associate lifecycle.
  • Knowledge of Human Resources Information Systems (HRIS) and Applicant Tracking Systems (ATS) software, including their functionalities for data management, reporting, and recruitment processes.
  • Experience with ADP is a plus.
  • Strong interpersonal and communication skills with the ability to work effectively with diverse teams.
  • Capable of building relationships with associates at all levels.
  • Excellent organizational skills with the ability to articulate and present a clear message.
  • Detail oriented with the ability to actively listen and capture accurate facts.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with HR software preferred.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Eagerness to learn and take on new challenges in a fast-paced environment.
  • Strong problem-solving skills and a proactive attitude.
  • Maintaining confidentiality is essential.
