Job DetailsHuman Resource Specialist (Contract) Responsible for maintaining employee personnel files, and general office files and forms; responsible for employee benefits administration. Provides clerical and administrative support to the department by performing the following duties in accordance with the policies and procedures. Essential Duties:
- Prepares and maintains personnel master files.
- Provides assistance to employees with election and maintenance of cafeteria benefits.
- Processes Virginia Retirement System (VRS) retirement requests.
- Reconciles monthly benefits invoices.
- Communicates new employee information and changes to third party. Processes COBRA notifications.
- Assists with preparation of Annual Employee Benefits Statement.
- Verification of Licensure/Certification.
- Processes Changes of Status notices and relevant benefit changes. Works with the Human Resources Director to oversee the administration of multi-tiered employee benefits programs, including plans such as retirement, health, life, dental, vision, short and long term disability, and employee assistance program.
- Administer employee insurance and working with insurance brokers and plan carriers.
- Conducts new employee orientations; informs new employees of benefits programs, policies and related enrollment deadlines.
- Monitors leave of absence programs to ensure legal compliance, reviews and analyzes FMLA, PLOA and other state, federal leave law applications.
- Helps educate employees and managers on policy and legal compliance regarding leave of absence.
- Responds to employee and retiree questions and complaints, interfaces with third-party administrators to resolve claim appeals.
- Works with employees to promote health and wellness in the workplace; develop programs, distributes education and resources materials, and provides training opportunities to achieve and maintain a healthy workforce.
- Coordinates open enrollment for benefits, the preparation of open enrollment benefits materials and literature, and also helps with the coordination of an annual benefit fair.
- Provides technical support and information to employees, supervisors, and managers in evaluating reasonable accommodation and protected leave requests.
- Ensure company compliance with federal and state laws, including reporting requirements.
- Assists the Director in establishing a calendar for companywide training activities for the leadership team.
- Updates payroll, timekeeping and HRIS systems.
- Maintains general files and forms required to accomplish assigned tasks and responsibilities.
- Performs general clerical routines: answering telephone, correspondence, faxing, copying, and filing.
- Maintains inventory of general office supplies for Human Resources.
- Performs payroll processing in the absence of the Payroll Coordinator.
- Other duties as assigned.
Education and Experience: - Bachelor's degree or equivalent from four-year College or technical school; and two years related experience and/or training; or equivalent combination of education and experience.
- Notary Public, State of Virginia.
- Strong computer skills.
