Overview
This role encompasses a wide array of responsibilities, including onboarding, employee benefits, HR administration, and more. This role supports maintaining accurate records, ensuring smooth HR processes, and assisting in compliance with company policies and employment legislation. This is a hybrid role responsible for supporting office related tasks at the West Middlesex location. This role will support the entire West Middlesex team during onsite collaboration days.
Responsibilities
Onboarding:
* Assist onboarding processes, including preparing orientation materials, facilitate a smooth employee integration.
HR Administration:
* Maintain and update employee records with precision and confidentiality.
* Assist in employee conversions, transitions, and promotions within the organization.
* Draft HR-related correspondence such as offer letters and documentation.
* Communicate HR policies and procedures to employees as needed.
* Respond to employee inquiries regarding HR policies, benefits, and other matters.
* Respond to employment verification requests.
* Ad hoc HR reporting.
* Perform data entry tasks with a high level of accuracy to ensure up-to-date and reliable information.
* Manage filing systems to uphold organization and confidentiality standards.
Benefits Administration:
* Support employees with benefits administration, including enrollment, changes, and communication.
* Provide support to employees with benefit-related inquiries and offer guidance on available resources.
Additional Responsibilities:
* Provide onsite HR support during weekly office collaboration days as scheduled.
* Support vendor relationships for office supplies.
* Assist in coordination of employee events and engagement initiatives to foster a positive workplace culture.
* Support new hires to integrate smoothly into the company.
* Manage benefits invoicing and self-bill processes
* Manage various HR communications including Intranet postings and emails to the broad employee population
Reimbursement and Payroll:
* Handle reimbursement processes for eligible expenses, ensuring compliance with company policies.
* Collaborate with the payroll department to facilitate accurate and timely payroll processing.
Qualifications
* Associate's or Bachelor's degree in Human Resources, Business, or a related field preferred.
* 1-2 years of administrative experience, preferable in HR or a similar role.
* Basic knowledge of HR principles, practices, and employment laws.
* Strong organization skills and attention to detail.
* Superlative interpersonal and communication capabilities.
* Ability to handle confidential information responsibly
* Proficiency in Microsoft Office Suite.
* Experience using HRIS (Human Resources Information System) software is a plus.
Work Environment and Physical Requirements
Sitting: The role involves prolonged periods of sitting while working on a computer.
Screen Time: Extensive use of computer screens is common in this role. Adequate breaks and ergonomic setups are encouraged to minimize eye strain and fatigue.
Mobility: While the position is predominantly sedentary, mobility is required while in the office.
Communication: Clear communication, both written and verbal, is crucial. This includes interacting with team members, conducting interviews, and addressing employee inquiries.
Flexibility: The ability to adapt to changing priorities and handle multiple tasks simultaneously is essential. The work environment may involve occasional stress due to deadlines or unexpected demands.
