Basic Statement of Responsibilities The Human Resources Assistant & Activity Coordinator is a member of the Human Resources (HR) team and provides operational and administrative support and service to the HR team, employees, retirees and external parties. The Human Resources Assistant & Activity Coordinator will provide customer service, administrative support, and coordinate events and activities for employees and retirees. Essential FunctionsProvide Administrative and Clerical Support to the Human Resources Department. Functions include but are not limited to:Requisition of office supplies, mail processing, answer phones, respond to emails, schedule meetings and appointments (as requested), reserve meeting/conference rooms, prepare facility work orders and IT help desk tickets, maintain calendars, prepare purchase orders and vouchers, process any administrative paperwork, filing.Data entry related to personnel records in HRIS systemProvide customer service to employees and students; greeting visitors to the Human Resource DepartmentActivity and Event CoordinationLead in organization and coordination of activities and events for employees and retirees which includes but is not limited to:Organize and coordinate any support needed during the activities or events.Ensure required staff and materials are available and prepared for events or activities.Work with various departments and staff on campus for marketing, printing, publishing, scheduling, multimedia needs, and event setup/teardown, etc.Communicate activity and events to employees and/or retireesEnsure funds are used effectively and efficiently for events and activities.Evaluate the success of each activity or event, and identify opportunities for improvement.Maintain records for assigned activities and events.Identify, develop and maintain relationships with a variety of vendors used in events and activities Education, Experience, and Specialized SkillsAssociate's degree required with a minimum of one (1) year work experience in Human Resources, administrative assistant or related field; orHigh School Diploma with a minimum of five (5) years of related work experience.Demonstrated customer service excellence and outstanding communication skills. Worker's Compensation: An employee in any type of position at the college is covered by worker's compensation insurance when he or she is involved in a work-related accident. Worker's compensation insurance covers medical care, rehabilitation and lost wages for employees or death benefits for the employee's dependents, according to the specific terms of the insurance policy Tuition Waiver: (Employees contracted for a minimum of 750 hours for the current fiscal year and who has accumulated at least 750 hours via previous service are eligible for tuition waivers for credit courses offered by ACM.) Professional Development Opportunities: All employees are welcome to participate in College sponsored professional development activities. Sick and Safe Leave - Part-time employees who will regularly work 12 or more hours per week will earn paid sick and safe leave. Eligible part-time employees will earn 1 hour of sick and safe leave for every 30 hours that they work. Part-time employees may accrue up to 40 hours of sick and safe leave in a fiscal year, carryover a balance of 40 hours per year; sick and safe leave hours are limited to earning and accruing up to 64 hours per year. Holidays - Part-time employees may enjoy the 17 official college holidays, however they will not be compensated for these days. Bereavement Leave: Eligible part-time employees are provided paid leave of up to three normally scheduled work days for the death of an immediate family member. Military - part-time employees who are in the uniformed services can take accrued annual, or leave without pay, to serve in the uniformed services. Family and Medical Leave - FMLA entitles eligible employees to take up to 12 weeks of unpaid, job-protected leave in a rolling 12-month period measured backward from the date an employee uses any FMLA leave for specified family and medical reasons. Flexible Spending Accounts - Employees can obtain a medical reimbursement account and/or a dependent care assistance account effective the first of the month following the employee's date of hire. Employees do not need to enroll in the college's medical or dental plan to be eligible for flexible spending accounts. Supplemental Retirement Accounts - All employees who normally work 20 hours or more per week can make tax-deferred supplemental retirement contributions to any of the supplemental retirement funds offered by the college.
