The headings in this Job Description are for convenience only.POSITION SUMMARYPerform routine clerical and administrative work in answering telephones, data processing, record keeping, and providing employees and/or applicants assistance.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING: Because Eastern Shipbuilding is continually growing to meet the needs of our customers, the essential duties and responsibilities may be different than described.
- Regular attendance at work and the ability to work flexible hours, including overtime, weekends, and holidays.
- Prepare and process records, documents, correspondence and other materials of a sensitive nature.
- Receive the public and answer questions in person and by telephone; respond to inquiries from employees, applicants, and the general public. When necessary refer to the appropriate person, office, or department.
- Maintain employee personnel files and records and assure their completeness; file documents in employee's personnel files.
- Update, distribute, and manage the daily call-in log.
- Issue employee badges.
- Assist the HR and Asst. HR Managers and others with various research projects and/or special projects.
- Screen applicants, coordinate testing, schedule interviews, administer drug tests, schedule physicals, and assist in pre-employment processing as needed.
- Update HRIS database records and process paperwork as required.
- Maintain appropriate levels and monitor office supplies, equipment, and other materials.
- Assist in the processing of vacation requests and the administration of the Attendance Bonus.
- Perform other duties as assigned.
SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibilities.Job RequirementsREQUIREMENTSEducation/Experience: Specialized course work in general office practices such as typing, filing, and bookkeeping, plus one or more years' experience in an administrative/ clerical position. Six month's Human Resources experience desired. An equivalent combination of education and experience may be considered. Bi-lingual English/Spanish a plus.Skills: Intermediate level Microsoft Windows, Word, Excel, and Outlook Express. Ability to read and interpret documents such as general business periodicals, professional documents, insurance plans, or governmental regulations. Ability to effectively present information and respond to questions from employees, applicants, and the public. Ability to apply common sense understanding to carry out instructions furnished in written, verbal, or diagram form.
