Salary: $25 per hour

Schedule: Generally during office hours, 8:30am-5:30pm but flexible as needed to accommodate employee needs.

Job Summary:

The Human Resources Associate is responsible for providing essential administrative support to the HR department, ensuring smooth operations and effective communication within the organization. Under the supervision of the HR Director, this role involves conducting a variety of HR-related administrative tasks, including managing drug tests, sending out new hire welcome kits, handling employee communications, and participating in employee engagement activities. The ideal candidate is detail-oriented, organized, and has strong communication skills.

Essential Duties and Responsibilities:

Administrative Support:

  • Assist employees with access to Paylocity payroll system including resetting/unlocking their accounts and providing proper access to supervisors.
  • Manage incoming and outgoing HR correspondence, including distributing internal mail and responding to general HR inquiries.
  • Assist with front desk reception coverage as needed.
  • Assist with the administration of employee benefits, which may include collecting and submitting employee information and notice of change in status to health, dental, life, disability, and other insurance carriers.
  • Plan and support company-wide information meetings such as open enrollment and meetings to announce or discuss changes in retirement or benefits plans.

Employee Communications:

  • Mail out new hire welcome kits, ensuring they are sent in a timely manner and include all necessary materials.
  • Send personalized postcards or letters for employee life events, such as bereavement, the birth of a new baby, and other significant milestones.
  • Coordinate and send out birthday emails and other employee recognition communications.
  • Assist in the creation and distribution of the internal newsletter, gathering content and ensuring timely delivery to all employees.

HR Processes & Compliance:

  • Coordinate and administer pre-employment and pre-placement drug tests, ensuring compliance with company policies and legal requirements.
  • Conduct employment reference checks, verifying candidate information and documenting findings.

Employee Engagement & Culture:

  • Serve as a member of the Employee Engagement Committee, contributing ideas and assisting with the planning and execution of employee events and initiatives.
  • Support HR-led events and activities aimed at enhancing employee engagement and company culture.

HR Reporting & Documentation:

  • Prepare and maintain HR documentation, including employee records, reports, and compliance documents as required.
  • Assist with the preparation of HR reports and metrics for review by the HR Director and other stakeholders.

Other:

  • Attend all agency required meetings and trainings.
  • Perform other duties as assigned.

Minimum Requirements:

  • High school diploma or equivalent required; Associate degree preferred.
  • Three years of office experience preferred, with at least one year in human resources highly preferred.
  • Possess strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent critical thinking and problem-solving skills.
  • High emotional intelligence and ability to navigate sensitive situations with empathy and professionalism.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency in Microsoft Office Suite.

Conditions of Employment:

  • Employment may be conditioned upon satisfactory completion of certain background clearances which may include a Department of Justice criminal background check requiring my fingerprints (Live Scan), screening through the National Sex Offender Public Website, drug test, tuberculosis (TB) test, and such additional clearances as may be required under the program.
  • Candidate is required to have reliable transportation; therefore, the candidate must successfully complete a motor history check. Candidate must also possess and maintain a current valid California driver's license and valid auto insurance policy.

Physical demands:

  • Ability to work under deadlines and deal with clients in crisis and difficult situations.
  • Must be able to remain in a stationary position during shift.
  • Moves throughout the building.
  • Moves, raises, or lowers (includes upward pulling) an object or equipment up to 50 lbs.
  • Transports an object, from 20 to 50 lbs. across the facility, for various needs.
  • Ability to exert force upon an object so that the object moves away from the force.
  • Ability to exert force upon an object so that the object moves toward the force (includes jerking).
  • Ascending or descending stairs and ladders when applicable. Body agility is emphasized.
  • Balancing: Maintaining body equilibrium to prevent falling when ascending, descending, traversing.
  • Stooping: Bending body downward and forward by bending spine at the waist, requiring full use of the lower extremities and back muscles.
  • Handling: Seizing, holding, grasping, turning, or otherwise working with objects or office machinery.
  • Communicating: Expressing or exchanging ideas.
