The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.Position SummaryReporting to the Senior Associate Director of Human Resources, the Human Resources Associate is responsible for the administration of all day-to-day human resources and payroll activity for Columbia College. The HR Associate advises staff and students on University payroll policies and procedures and resolves routine personnel issues. The incumbent exemplifies a proactive, customer-centered HR philosophy and contributes to the College's continual strive to achieve excellence, collaboration, and efficiency. The HR Associate will work with a diverse set of departments across Columbia College. The HR Associate is an integral member of the College HR team and will play an indirect or direct role in all HR activities and initiatives for the entire College employee population.Responsibilities* Work closely with the HR Manager and Senior Associate Director to manage all personnel transactions. Serve as a HR resource to all of the College's units regarding the administration of HR/payroll information and activities, researching policy and policy queries as needed to provide interpretation and/or troubleshoot and resolve issues. Maintain HR activities logs, prepare and submit transactions for processing to Central HR, and carry out related responsibilities. Resolve routine inquiries, escalating complex issues as appropriate.* Advise managers on the use of the University's recruitment system (TalentLink) and the administrative hiring process. Review job descriptions for content and consistency and suggest revisions. Create and post vacancies in TalentLink and coordinate administrative searches. Post advertisements for open positions on external venues as required. Advise managers on matters related to the hiring of students via work-study or as casual employee.* Manage the onboarding of new full-time employees, providing a College overview, answer questions and provide guidance on new hire activities including paperwork completion. Prepare and process all new hire paperwork for full-time and part-time hires, including checking accuracy of all information in PeopleSoft system. Create, update and maintain Visio organizational charts. Maintain confidential personnel files. Perform quality data audits to ensure maintenance of accurate information in HR system, and correct discrepancies or errors when they arise.* Manage time and attendance information for the entire employee population, including sending communications to ensure the timely and accurate employee submission of electronic quarterly time and attendance reports. Provide guidance to managers and staff with questions and policy interpretation. Manage bi-weekly casual and support staff payroll in electronic time reporting system (TLAM). Conduct audits by running reports in the system to ensure timely and accurate payroll submissions. Reconcile payroll including initiating any required correction transactions. Maintain all necessary payroll documentation.* Ensure departmental compliance with the University policies including but not limited to, background check requirements, mandatory trainings and Protection of Minors. .* Reconcile payroll including initiating any required correction transactions, overpayment recovery requests, stop payments and reissues for missing paychecks. Conduct regular salary accounting reconciliation activities, including working with the salary budget model and reporting alongside the HR Manager, Senior Associate Director, and Senior Associate Dean for Administration and Planning.* Perform other related and ad hoc duties as assigned, including supporting any College-wide human resources initiatives.Minimum Qualifications* Bachelor's degree and/or its equivalent required (or equivalent combination of education and experience).* Minimum 0-2 years of related experience required.* Excellent oral and written communication and interpersonal skills are essential.* Must be organized and task oriented with the ability to establish priorities and follow up on multiple issues in a time-sensitive manner.* Superior attention to detail is essential.* Ability to work under pressure and with minimal supervision and exercise sound, independent judgment required.* Capacity to develop and maintain strong working relationships and the demonstrated ability to collaborate are critical for success in the role.* Must have excellent analytical and problem solving skills.* Have ability to exercise a high degree of diplomacy, discretion, and collaboration in dealing with individuals at all levels and working with confidential information.* Excellent computer skills required including proficiency with Microsoft Office (Word, Excel, PowerPoint and Visio) and Google Mail, Docs, Sheets.* Ability to quickly acquire a detailed knowledge of University policies, procedures, and systems.Applications received without a resume and cover letter will not be considered.Preferred Qualifications* Preference for relevant experience in a college or university setting.* Experience with data maintenance, reporting, and analysis desired.Equal Opportunity Employer / Disability / VeteranColumbia University is committed to the hiring of qualified local residents.
