Job Summary: The HR Assistant provides essential administrative support across all HR functions, including recruitment, payroll, benefits, and employee relations. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential matters with discretion. The HR Assistant will help ensure the smooth and efficient operation of our HR department in supporting staff and aligning strategic HR practices with business needs. This entry-level position is ideal for individuals looking to begin their career in human resources, offering exposure to various HR functions including recruitment, payroll, employee relations, and compliance. Key Responsibilities:
- Be the first point of contact for employees.
- Assist with day-to-day operations of the HR functions and duties.
- Provide clerical and administrative support to Human Resources executives.
- Contact references/prior employers for job verification.
- Maintain HR Overview Report.
- Receive and record letters of interest from job candidates.
- Gather and file employee reviews.
- Compile, update, and file employee records (hard and soft copies).
- Reconcile benefits statements and immediately report any errors to HRM and HRD.
- Process documentation and prepare reports relating to personnel activities as needed (staffing, recruitment, training, grievances, performance evaluations, etc.).
- Coordinate HR projects (meetings, training, surveys, etc.) and take minutes.
- Answer employee requests regarding human resources issues, rules, and regulations.
- Monitor general HR email box twice daily.
- Send notification to department heads on HR initiated suspensions, leaves, and terminations.
- Enter new hire information in Mental Health Law database.
- Assist in payroll preparation by providing relevant data (absences, bonus, leaves, etc.).
- Properly handle complaints and grievances according to procedures.
- Maintain calendars of HR management team.
- Approve new hire entries sent by the HR Staffing Specialist.
- Compile reports and spreadsheets to track HR initiatives.
- Properly take messages for members of the HR team.
- Collect, process and properly file direct deposit forms; coordinate with payroll to process the change.
- Other duties as assigned.
Skills and Qualifications:
- Proven experience as an HR assistant, staff assistant, or relevant human resources/administrative position.
- Fast computer typing skills (MS Office, in particular).
- Hands-on experience with an HRIS or HRMS.
- Basic knowledge of labor laws.
- Maintain calendars of HR management team.
- Compile reports and spreadsheets and prepare spreadsheets.
- Outstanding communication and interpersonal skills.
- Ability to handle data with confidentiality.
- Excellent organizational and time management skills.
- Ability to communicate in a clear and concise manner, written and verbal.
- Associate's degree in Human Resources or related field preferred.
Physical Requirements This job will require frequent typing, sitting, stooping, standing, kneeling and lifting up to 30-lbs, 50-lbs with assistance if requested. Hourly rate for this position is $17.00 an hour.
