Human Resources Coordinator Full Time: (40 hrs. /week) Schedule: 8am - 5pm MUST APPLY ONLINE: hospicecommunity.org Job Summary: Coordinates administrative responsibilities including the HRIS system and a wide variety of administrative tasks/responsibilities for the Human Resources Department. Provides administrative support for Vice President of Human Resources. Responsibilities: Prepares offer letters and status letters for employees and sends electronic new hire paperwork through the human resources information system (HRIS). Prepares new employee orientation (NEO) packets and ensures all paperwork is returned and processed. Revises job descriptions as requested and coordinates the signature and filing of the new job description in personnel files. Manages and performs criminal background checks, FBI checks, motor vehicle record checks and child abuse clearance checks for staff and volunteers. Prepares and maintains PA criminal checks for home hospice employees for use in long term/senior living facilities. Maintains files on licensure information for all professional staff and medical testing information for all staff and volunteers. Notifies supervisors of employees who have not renewed their licenses by the specified date. Prepares identification (ID) badges and orders all nameplates and business cards. Prepares, distributes, and tracks organization performance evaluations and clinical competency assessments. Provides administrative support for human resource (HR) function(s) as needed (e.g. correspondence generation, record-keeping, file maintenance, HRIS entry, etc.). Maintains and updates the unscheduled paid time off (UPTO) and call off reports for discrepancies and notifies supervisors as needed. Tracks and completes Affordable Care Act (ACA) and Equal Employment Opportunity Commission (EEOC) reporting requirements. Ensures all HR paperwork is appropriately scanned, filed and maintained. Manages the hospice certification exam notification, reimbursement, results and certification paperwork. Coordinates staff massage therapist schedule. Distributes and records employee infection control tracking (EICT) logs for the quality & compliance department and compiles/distributes quarterly reports Manages the paperwork for flu shot consent forms and flu shot declination forms. Serves as an active member on the Employee Activities & Appreciation Committee (EAAC) and helps coordinate various activities. Serves on other committees as interested/requested and may take minutes/notes as needed. Coordinates and manages summer fruit distribution from Memorial Day to Labor Day. Manages human resource (HR) volunteers. Reconciles monthly benefit insurance invoices. Administers employee recognition and service award programs. Manages Educational Assistance reimbursement program. Serves as backup for and a support to the HR Manager by helping to process FMLA, insurance enrollments, changes, and terminations as necessary. Serves as backup for payroll processing responsibilities. Responsible for understanding HR policies and providing appropriate clarification to employees as necessary. Performs other related functions as assigned. Maintains regular and timely attendance. As an exempt employee, must be willing to work necessary hours to meet job requirements. Qualifications: High school graduate or GED required Associates degree in business related field OR at least 2 years of recent administrative experience required. Bachelors degree in HR or related business field preferred Must have knowledge of human resources and best practices High level of proficiency with Microsoft Office Suite- Excel, Word, Outlook and internet applications Experience with HR database and HRIS systems preferred Strong verbal and written communication skills, as well as strong math skills Strong analytical, prioritizing, interpersonal, problem-solving and presentation skills Strong attention to detail, excellent multitasking and organization skills Demonstrated ability to exercise discretion and confidentiality when handling records and information MUST APPLY ONLINE: hospicecommunity.org Employment Type: Full Time Bonus/Commission: No
