Job SummaryThe Human Resources (HR) Coordinator is accountable to the Human Resources Manager and acts as the primary point of contact for all administrative HR support, while acting as the primary liaison between external visitors and internal contacts. This position will have a focus on data quality for our HR systems, completing administrative tasks and supporting HR programs, while fulfilling reception duties from time to time. This multi-faceted role will require an open-minded individual who is organized, dedicated and sensitive to confidential information.ResponsibilitiesHR Administrative & Coordination Support• Maintain and update employee changes in all HR systems and organizational charts (SPIRIT, Septodont Corporate University, LinkedIn Learning). • Ensure data quality in the HR systems through monthly audits.• Updating policy revisions and program updates.• Documenting and updating processes for the HR Coordinator role.• Assist with Spirit days and corporate social events as required.• Launch corporate programs via our HR systems- Performance Appraisals, Goal Setting, IDP's, etc.• Primary contact and coordinator for all HR driven annual programs- Safety Shoes, Medicals, Safety Glasses, Service Awards, Retirement Program, etc.• Assist with completing reference checks for new hires.• Assist with the front-end pieces for STD claims.• Create new hire orientation packages and send out new hire schedules.• Take meeting minutes at the Employee Committee meeting.• Update HR trackers - attrition data, onboarding hires, recognition, etc.• Other administrative duties as required (filing, creating letters of reference, employee change forms, creation of recognition slides, etc.)Reception Support• Manage and direct all incoming phone calls and visitors in a professional and customer centric manner. • Complete courier paperwork and arrange for shipping, retrieve and forward all incoming faxes and affix postage to outgoing mail.• Order flowers in cases of bereavement.• Confirm meeting room bookings in Outlook calendars.• Order and maintaining office supplies.• Ordering lunches for key business meetings.QualificationsEducation• University degree or community college diploma in Human Resources or office administration. Experience• 4 years' experience in office administration. HR certification an asset.• Excellent organizational skills with the ability to prioritize tasks according to importance.• Ability to juggle multiple priorities in a fast-paced environment with frequent interruptions and competing demands.• High degree of confidentiality and professionalism with sound judgement.• Proven ability to work effectively with individuals at all levels within the organization, specifically in demonstrating tact and diplomacy.• Proficiency in MS Office (Word, Excel, and Power Point) and strong computer skills.• Solid verbal and written communications skills.• Speed in execution and effectiveness with the ability to streamline processesWhat we offer
