Job Objective: This position provides human resource services to employees and managers. Duties include recruiting; hiring, motivating and retaining employees; interpreting and documenting policies and procedures; employee relations; employee development; ad hoc reporting; special projects and project management. In addition, this person is responsible for document management and general office administration for the family office.
Essential Job Responsibilities:
Human Resources
• Interfaces with affiliated company's Human Resource Specialists in the areas of FMLA, Benefits and Compensation to provide direct full-service HR to 120+ employees in multiple locations and operations. Also includes Insurance Department interface regarding workers compensation claim coordination as needed.
• Salary and bonus administration; determines appropriateness of grade levels and survey data by doing research and evaluating the market.
• Payroll administration – posts and reviews weekly and biweekly payroll for processing ensuring hours are accurate and providing final approval. Prepare monthly reports for accounting with internal payroll allocations.
• Oversees recruitment efforts of all personnel, including writing and placing job postings and scheduling interviews for management.
• Process Verification of Employments (VOEs) and respond to employment inquiries.
• Prepares and updates job descriptions and presents to employees for acknowledgement and signature.
• Ensures new employee documents are completed in compliance with state and federal regulations; follows-up with new employees to confirm understanding of benefits and new hire paperwork.
• Provides independent contractor administration and compliance by working directly with independent contractor or 3rd party administrators for background checks, contracts and confidentiality agreements.
• Administers the leave and FMLA process to ensure compliance.
• Manages the separation process. Prepares separation documents, enters information into HRIS system, and assists managers in planning and organizing involuntary terminations. Conducts and analyzes exit interviews to determine the cause of voluntary separation and make recommendations for workplace enhancements. Provides direction for responding to unemployment claims.
• Conducts workplace investigations and recommends appropriate action to management. Offers advice and counsel to assist in resolving workplace grievances.
• Manages employee branding initiatives such as recruitment brochures, website content, etc. to ensure alignment with the core values.
• Partners with Benefits team to create clear, effective communication strategies around benefits offerings during the Open Enrollment process.
• Maintains employee handbooks. Administers and interprets human resources policies and procedures and suggests changes in policies and procedures based on employee and company needs.
• Oversees the maintenance of all electronic employee data in the HRIS & Payroll systems.
• Prepares custom reports for principals including organization charts, employee emergency contact list, vacation and sick time.
• Nurtures a positive working environment through activities, events, etc.
• Maintain HR Systems and processes.
• Attending interdepartmental meetings with other managers and establishing relationships.
• Ensures compliance with federal, state, and other applicable laws.
• Performs special projects as needed.
Safety
• Identifies and anticipates safety and health concerns and hazards by surveying environmental, operational, and occupational conditions; rendering opinions on new equipment and procedures; investigating violations; and recommending preventive programs.
• Guides and promotes safe work performance by developing safety systems, policies, and procedures; developing safety campaigns, communications, and recognitions; and training managers and employees; includes First Aid Certification/Re-certification and AED service & training.
• Complies with federal, state, and local safety regulations by studying existing and new legislation, anticipating future legislation, interpreting standards, enforcing adherence to regulations, and advising management on needed actions.
• Enforces safety policies by conducting inspections, reporting statistics, and advising managers and employees.'
Office Administration
• Manages file database and physical files with a goal of reducing physical files. Organizing file structures and permissions and overseeing HR and Administrative Support Staff in the proper maintenance of file.
• Department Calendar – oversees HR and Administrative Support Staff in the management and maintenance of department deadlines and key milestones.
Other Job Responsibilities:
• Maintains technical knowledge by attending educational workshops and reviewing professional publications, establishing personal networks, and participating in professional associations.
• Maintains employee and management confidence and protects company assets, including intellectual property, by keeping all information confidential.
Qualifications:
• Minimum 10 years of progressive HR experience, with an emphasis on recruiting, employee relations, payroll and administering HR/Safety programs.
• Knowledge of employment and safety governmental regulations.
• In-depth understanding of compensation/benefits and project management.
• Interfaces with all levels of employees, senior management, and outside vendors.
• Demonstrated ability to think analytically and multi-task in fast-paced environment.
• Excellent verbal and written communications skills.
• Proficiency in Microsoft Office and report writing, with intermediate Excel skills.
• Bi-lingual Spanish speaking a plus.
• Experience working with Workday a plus.
• People oriented and results driven.
• Good understanding of technology tools and database administration a plus.
