The YW provides a safe place for survivors of domestic violence, sexual assault, and human trafficking. Our programs and services include crisis shelter and transitional housing for survivors and their families, a 24-hour bilingual hotline, counseling, SAFEPLAN court advocacy, community education, and supervised visitation. The YWCA provides services at several sites, including Holyoke, Northampton, Westfield, and our primary Springfield campus. Position Purpose:The Human Resource Generalist will perform administrative tasks and services to support effective and efficient operations of the YWCA's Human Resource Department. The HR Generalist's role is that of a supportive role, answering frequently asked questions from applicants and employees in regards to standard policies, benefits, hiring processes, ADP, etc., referring more complex questions to the VP of Human Resources.Essential Responsibilities
- Safeguards all confidential information obtained and used during the performance of duties;
- Support talent acquisition and retention including, but not limited to, job postings, applicant screening and tracking, and tiered background checks;
- Conduct research on, and attend career fairs, campus events, and other community events;
- Prepare orientation packets for new hires;
- Schedule and conduct the new employee orientation, ensuring the completion of new hire forms;
- Conduct Stay and Exit interviews, as well as end of intro check ins;
- Provide administrative support by processing personnel related transactions and maintaining accurate and up to date information in our HRIS system (ADP Workforce Now);
- Maintain personnel files including applicant materials, policy acknowledgements, employment status changes, benefits, payroll forms, training and/or certification, and performance evaluations;
- Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters;
- Regularly maintain Organization charts;
- Recruit, screen, and support the on-boarding of interns and volunteers;
- Serve as a primary resource for payroll processing using the ADP system;
- Support the administration of employee benefits including, but not limited to, plan enrollments, open enrollment, documentation, and reporting;
- Provide benefits information and coaching to new hires;
- Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries;
- Respond to requests for employment verifications;
- Assist with annual reporting activities in compliance with IRS, ACA, and EEO requirements;
- Assist with the coordination of staff meetings and agency events;
- Assists with distribution of company-wide HR correspondence as needed;
- Provide support and assistance to the Receptionist/Administrative Assistant as needed;
- Attend all YWCA staff meetings; and
- Perform other relevant duties as assigned.
Required Trainings:
- Successful completion of all required trainings within introductory period;
- Successful completion of required yearly trainings; and
- Continued Human Resources related trainings;
Qualifications
- Associate's degree in Human Resources, Business Administration, or related field with 3 years of relevant professional experience;
- Experience with ADP payroll system preferred;
- Excellent verbal, written, and organizational skills;
- Familiarity with employment law;
- Experience working in a union environment preferred:
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations/information with tact, professionalism, and diplomacy;
- Ability to work independently and as part of a team;
- Access to reliable transportation and valid driver's license required;
- Must be able to be covered by the agency's insurance policy; and
- Must be able to lift 40 lbs.
