Job Type Internship Description Department: Human Resources Mentor/Supervisor: Art Rios - Director of Human Resources Schedule: Monday through Thursday - 10 to 4 Summary This internship focuses on integrating new employees smoothly into ICP, ensuring they feel prepared for their roles. We'll research essential information and tools for successful onboarding and customize the process for each department. You'll collaborate with various teams to develop checklists and materials. Your daily tasks will include assisting and observing with the offer letter process, new hire processing, and system data entry. You'll gather feedback, refine research skills, adapt processes, and collaborate effectively. Training sessions will cover Paylocity, SharePoint, and Microsoft 365. Regular meetings and catch-ups will keep us on track. Learning Objectives and Skills to Be Learned: Throughout this internship, you'll master research and analysis by digging deep into information and spotting areas for improvement. You'll also learn how to customize processes to fit different departmental needs and understand how each unit in our nonprofit operates. You'll get hands-on experience in stakeholder management, building solid relationships with our infrastructure departments, and coordinating with various teams. We'll teach you how to document processes effectively, create handy checklists, and make procedures more efficient. When it comes to presentations and communication, you'll become a pro at designing engaging facility tours and delivering informative talks. Lastly, you'll develop content creation skills, crafting materials for onboarding that are both informative and visually appealing. Internship Project Description: As an intern, you will be vital in improving the onboarding experience, ensuring a smooth transition into the ICP community and work environment. To achieve this goal, you will take on a project to assess and redesign the ICP onboarding process. This will include conducting thorough research to identify essential information, tools, and resources necessary for the onboarding process. Additionally, you will customize the onboarding process to meet the specific needs of each department and division within the organization. Collaboration with key stakeholders in infrastructure departments will be essential to develop efficient workflows and provide appropriate resources. You will also be tasked with creating comprehensive processes and checklists for hiring managers to facilitate the onboarding process and designing an engaging facility tour to familiarize new employees with their work environment. Furthermore, you will design and create all relevant materials required for successful onboarding. Daily Duties: During your internship, you'll perform some important daily tasks. To help you understand the onboarding process, you will help redesign, you'll assist with sending offer letters, launching automated onboarding processes, processing new hire forms, and helping respond to new hires inquiries. You will assist the HR Manager and HR Generalist in managing the automated onboarding process for our current batch of incoming employees. You will also dive into the HR system to review important data from former employees. These tasks will help you understand how things work and how we can improve them. Additional Training and Development: The internship includes supplementary training sessions designed to enhance your skills. Initially, you will undergo comprehensive training on automated systems such as the Paylocity HR system and various Microsoft 365 tools. Subsequently, you will receive instruction on internal communication platforms, including SharePoint and other Microsoft 365 applications. These sessions will familiarize you with essential technological resources integral to our operations. You will also attend the HR staff meeting and the weekly operations meeting to get an overall understanding of ICP HR Operations and Infrastructure operations and coordination. Orientation Plan: A structured orientation plan has been devised. This encompasses meetings with each HR staff member, key infrastructure stakeholders, and departmental leaders. Furthermore, you will be provided with an orientation to our automated onboarding systems and internal communication protocols, as well as the relevant workflows and technologies. Regular attendance at staff meetings and operational team gatherings will further integrate you into our organizational culture. Requirements Intern Qualifications: The internship requires an individual who possess certain qualifications and attributes. Foremost among these is the ability to maintain confidentiality in handling sensitive information. An intrinsic interest in human resources and organizational development is highly desirable. Proficiency with technology systems is imperative, and applicants should demonstrate a thorough understanding and comfort in utilizing such systems.
