This role will be responsible for managing payroll processes, coordinating employee benefits, and ensuring the smooth operation of HRIS (Human Resource Information System). The ideal candidate will serve as the first point of contact for payroll and benefits inquiries, ensuring a positive and efficient experience for employees. Additionally, this position will oversee onboarding, offboarding, employee orientation, assist with talent acquisition, and support various HR functions, contributing to the overall success of the HR department.Key Responsibilities:Payroll Administration:
- Manage bi-weekly/monthly payroll for all employees including staff, faculty and students, ensuring timely and accurate payments.
- Coordinate with Finance and other departments to resolve payroll discrepancies and issues.
- Maintain records of payroll transactions and ensure compliance with local, state, and federal regulations.
- Respond to employee inquiries regarding payroll, benefits, and deductions.
- Communicate and provide guidance to employees, supervisors, and staff on time entry procedures, approval deadlines, and best practices for payroll submission.
- Assist with financial reports, audits (internal and external), and other special projects.
Benefits Administration:
- Coordinate employee benefits programs, including health insurance, retirement plans, COBRA, and other perks.
- First point of contact for employees' benefits inquiries
- Assist employees with benefits enrollment, changes, and ongoing inquiries to ensure timely and accurate resolution of issues.
- Plan, coordinate, and conduct new employees' benefits orientation, ensuring smooth onboarding of benefits programs.
- Coordinate the annual benefits open enrollment process and provide guidance to employees on plan options and deadlines.
- Establish and leverage strong working relationships with HRIS and benefit vendors/brokers.
HRIS Management:
- Maintain and update employee information in the Human Resources Information System (HRIS).
- Ensure the accuracy and integrity of employee records, including compensation, job titles, and benefits data.
- Generate and analyze reports from HRIS for payroll, benefits, and compliance purposes.
- Assist in HRIS system upgrades, troubleshooting, and training HR staff on system use.
Onboarding & Orientation:
- Facilitate the onboarding process for new hires, ensuring all necessary paperwork is completed through the Employee Self-Service (HRIS)
- Oversee the I-9 management process, ensuring compliance with federal regulations by maintaining accurate and up-to-date I-9 records for all employees.
- Coordinate orientation sessions to introduce new employees to the company's culture, policies, and procedures.
- Ensure that new hires are set up with appropriate access to HR systems, email, and tools.
Offboarding & Employee Exits:
- Oversee the offboarding process for exiting employees, including conducting exit interviews, processing final paychecks, and ensuring the return of company property.
- Ensure compliance with termination policies and legal requirements.
- Maintain proper records for offboarded employees in the HRIS system.
Process Improvement & Technology Integration:
- Recommend, develop, and implement new technology, procedures, and workflows to improve payroll, benefits, and HR processes for greater efficiency and accuracy.
Talent Acquisition Support:
- Assist with talent acquisition efforts by coordinating and scheduling interview setups, ensuring a smooth process for both candidates and hiring managers.
Departmental Administration:
- Maintain departmental supplies and equipment to ensure HR operations run efficiently.
General HR Support:
- Provide administrative support to HR and assist with day-to-day HR operations.
- Maintain employees records.
- Assist in maintaining HR policies, handbooks, and employee records.
- Support HR team in various projects, employee engagement initiatives, and compliance audits.
- Support the annual performance evaluation process by coordinating logistics, ensuring completion, and assisting with the salary setting process.
- Assist the HR team with salary letter preparation upon request, ensuring accuracy and timeliness.
- Education: Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
- Experience: Minimum 2-3 years of experience in HR, with a focus on payroll, benefits administration, and HRIS management. Previous work experience in a higher education environment preferred.
- Skills:
- Proficient in payroll processing software and HRIS platforms experience with Paycom is preferred.
- Experience in Higher Education is preferred.
- Strong knowledge of payroll and benefits regulations and compliance
- Strong analytical and research skills are required, including utilizing technology to perform data analysis and research.
- Demonstrated knowledge of PCs in a Windows-based environment and business software such as Outlook, Excel, and Word.
- Ability to work independently with minimal direction, setting priorities and schedules, and identifying and adhering to departmental objectives.
- Ability to establish and maintain cooperative working relationships with staff, department representatives, and management in a high-volume public setting.
- Exceptional organizational and time management skills.
- Excellent communication and interpersonal skills, with the ability to clearly guide and train staff and supervisors.
- Ability to handle sensitive information with discretion and confidentiality.
- Demonstrated ability to embrace change and be productive in a fast paced environment.
Preferred Qualifications:
- Certification in HR (PHR, SHRM-CP) a plus.
- Experience in managing employee benefits programs and resolving related issues.
Work Environment:
- Fast-paced office environment.
- The position requires 7-8 hours of desk work involving repetitive keyboarding, ongoing use of the computer and telephone, and frequent student and staff interactions to address payroll and benefits questions.
