Job Description:
PRIMARY PURPOSE:
  • Provide support for daily Human Resources / Payroll operations. Handle routine HR/ Payroll inquiries and provide responsive and knowledgeable assistance to employees.
  • Work under supervision to ensure accurate and timely preparation of payroll records according to prescribed procedures and regulations.
Education/Certification:High School diploma or GED. Associate Degree or higher (preferred)Special Knowledge/Skills:Human Resources:Ability to use software to develop spreadsheets, perform data analysis, and do word processing Ability to implement policy and proceduresData entry / Ability to interpret dataExcellent public relations, organizational, communication, and interpersonal skillsPayroll:Knowledge of basic payroll accounting proceduresAbility to maintain accurate and auditable recordsAbility to use software to create spreadsheets, databases, and do word processingProficiency in keyboarding and file maintenanceAbility to work with numbers in accurate and rapid manner to meet established deadlinesEffective organizational, communication, and interpersonal skills.Data entry / Ability to interpret dataMaintain and update district systems such as Time Clock Plus/ Position Control Management.Major Responsibilities and Duties:HR Support1. Handle routine HR inquiries to ensure a high level of service and responsive, knowledgeable support for employees and their supervisors. Explain HR policies and practices to employees as appropriate2. Maintain HR information database to ensure that employee information is accurate, current, and reliable.3. Receive and process applications, including verifying completeness of files and notifying those not selected for employment. 4.Process new hire paperwork including criminal history information, references, and other application materials.Payroll Support 1. Prepare accurate district payroll for distribution to employees following established procedures.2. Receive and audit time sheets for all district employees. Calculate employee wages, salaries, hours worked, overtime pay, and determine withholdings, deductions, and net pay.3.Maintain district payroll registers, employee payroll information, and other original documentation in an orderly and accurate manner in accordance with state, federal, and district requirements.4.Work cooperatively with human resource department, principals, department heads, campus and department secretaries, and employees to ensure accuracy of information reported. Resolve payroll problems and inquiries.5.Maintain confidentiality of information.Reports and Correspondence1. Prepare and distribute or post job vacancy announcements and advertisements.2. Prepare correspondence, forms, and HR/ Payroll reports according to federal, state, local and district standards and requirements. Reports such as TRS, Time Clock Plus, Position Control Management.Other 1. Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.2.Greet visitors and assist employees and applicants to complete applications and required paperwork.3.Assist with the preparation and distribution of employment contracts.4.Maintain confidentiality.5.Follow district safety protocols and emergency procedures.6.Performs other job-related duties as assigned; however, all employees are expected to comply with lawful directives in rare situations driven by need where a team effort is required.7.
