We are committed to fostering a collaborative and supportive work environment for our team members. Position Overview: We are seeking a Human Resources Specialist to join our HR Team. The Human Resources Specialist plays a critical role in supporting daily operations of the human resources department. This position is responsible for a variety of tasks related to HR systems maintenance, implementation and changes, recruitment, onboarding, payroll, benefits, records management, and ensuring a smooth and efficient HR process for all employees. The HR Specialist will work closely with all HR team members and other departments to provide excellent, positive and friendly service to all. Job Duties:

  • Coordinates, supports and executes a variety of HR tasks specific to HR systems maintenance and changes, Recruitment, Onboarding, Benefits, Reporting and Payroll.
  • Prepares and maintains accurate employee files in HRIS and beyond.
  • Ensures that data entered in the HRIS system is accurate and reliable, correct as needed and upon request. Performs audits of HR systems and data.
  • Supports HR software implementations, configurations, testing and roll out. Troubleshoot and resolve issues. Supports enhancements to systems.
  • Acts as a liaison with other departments especially IT, Accounting, Finance, others in HR to solve HR and HRIS, Payroll related issues including systems and data.
  • Maintains records retention process including managing active and inactive employee files and support for storage of records.
  • Supports and coordinates key hiring and onboarding tasks ensuring all new employees have a positive experience and complete all necessary onboarding tasks timely, in compliance in HRIS and beyond.
  • Support recruitment events including job fairs and school visits.
  • Ensure internal posting process is properly managed within the clinic, and for employees involved in internal transfers.
  • Promote company Employee Referral Program. Accurately track employee referral program and timely payout of referral bonuses.
  • Orient and complete new hire paperwork for all new employees and ensure that employment regulatory requirements are met; to include but not limited to, reviewing benefit program eligibility, describing benefit plans, and confirmation of enrollment completion.
  • Responds to employment related inquiries including but not limited to verification of employment, references, unemployment claims.
  • Ensures site compliance with all applicable labor law postings and notifications.
  • Supports employee focused programs and surveys using systems.
  • Processes all new hires, employee changes and terminations in an accurate and timely manner
  • Escalates issues to IT as needed for follow up and resolution.
  • Responds to a variety of 1st level HR-related inquiries from candidates, new hires, physicians and employees including but not limited to those related to HR systems.
  • Coordinates with payroll/benefits specialist payroll requests for data related information and/or assistance.
  • Supports biweekly payroll preparation, transmission, receipt and handling of new data using Paylocity or other systems.
  • Assists in the training of managers, supervisors and others in use of Time and Attendance application in timecard completion.
  • Verifies benefit balances and deduction processing for entry.
  • Confirms all new hire information and benefit elections.
  • Processes and enters 401k deductions and loan repayments for biweekly payroll processing.
  • Ensures compliance and adheres to company policies relating to processing of wages and time off.
  • Provides service to all employees regarding concerns with payroll and benefits deductions, research and troubleshoot inquires.
  • Coordinates resolution with HRIS vendor, Payroll/Benefit specialist/Insurance carriers to address any inquiries/requests as needed.
  • Audits employee timecards and review information for completeness and accuracy before initiating payroll runs.
  • Reviews invoices and initiating payments through Accounts Payable.
  • Supports leave of absence follow up and tracking.
  • Completes unemployment claim forms and database updates.
  • Completes employment verification requests and letters; completes mortgage and loan verifications for employees.
  • Tracks compliance in the HR system for new hire checklist completions. Completes Form I-9 audits; reconciles foreign national work authorization expirations with payroll data; maintains public access files for H-1B filings; tracks cultural immersion activities for Exchange Visitor program; reviews and purges visa program files.
  • Processes all position and supervisor changes in HR system.
  • Enters all requests for new non-paid resources in HR system; processes extension requests and separations if applicable.
  • Performs other related duties as assigned or requested.
Requirements Education: • Bachelors or Associate's Degree preferred. Certifications/Licenses: PHR or other a plus Previous Experience: • Minimum 2 years HR and payroll related experience • Solid HRIS/HR Systems technical background and training including configurations - Paylocity or other HR Systems preferred. • Prior HR systems change and implementation experience. • Proven data gathering and report creation required. • Medical or Physician Practice/Healthcare environment preferred. • Proactively suggest process improvement to enhance the efficiency of HR transactions. • Excellent excel/spreadsheet skills • Exceptional attention to detail and data integrity. * Starting pay for a successful applicant will depend on a variety of job-related factors, which may include experience, relevant skills, training, education, location, business needs, or market demands. Salary Description $25.00hr- $33.00hr
