Job Description:
Location Mineola, NY Pay: up to $90K yearly salary DOE + Excellent benefits + Bonus structure Type: Full time permanent employment Responsibilities and Duties:
  • Assist with incoming phone calls, service requests, and general customer inquiries
  • Communicate with colleagues including preparing and modifying documents, creating reports, Purchase Orders, etc.
  • Assist the Project Manager in all aspects.
  • Scheduling: develops a plan for what is to be done, what resources are required and when; coordinates with field staff, clients, and subcontractors to meet timetables for completion of work.
  • Change order management: Ensures that new information and/or additional scope of work is communicated with the client and a formal change order is submitted and approved0
  • Invoicing: Review completed scope summaries submitted from the field to ensure accuracy and scope completion. Submit a completed invoice to the Operations Manager for processing.
Requirements:
  • **Previous experience with HVAC plumbing and mechanical systems and terminology to effectively communicate with technicians and customers. **
  • **Previous experience as a HVAC Service Coordinator / Project Coordinator / Project Admin or Assistant PM .**
  • Organization Skills: Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Communication: Excellent verbal and written communication skills, with the ability to interact professionally with customers, technicians, and other team members.
  • Problem-Solving: Ability to think quickly and creatively to resolve scheduling conflicts, address customer concerns, and troubleshoot technical issues.
  • Computer Skills: Proficiency in using scheduling software, Salesforce, and Microsoft Office Suite.
  • Customer Focus: Commitment to providing exceptional customer service and ensuring customer satisfaction with every interaction.
  • Flexibility: Willingness to work flexible hours, including evenings and weekends, to accommodate customer needs and service demands.
  • Must have experience with Microsoft Projects and Excel.
