The HVAC Office Manager is a professional member of a team. This individual is responsible for the management of all areas of the financial and accounting operations, office staff and field technicians which includes accurate and timely financial reporting. This individual is also directly responsible for internal controls, policies, processes and procedures. The HVAC Office Manager is responsible for planning and organizing the activities of the accounting operations to include budgeting, performing month-end close, assessment of proper revenue recognition, and safeguarding all company assets.Primary responsibilities: Office manager who can help me managing following as duties and responsibilities which are not only limited to following: 1a. Manage Office Staff - train, monitor and scheduling
Manage Technicians scheduling using software systemCreating job invoices, proposals for in and out of warranty part replacements, new systems, duct jobs, duct/dryer vent cleaning, etc....and then follow up on proposalsFollow up on getting paid after proposal being accepted by customer - Deposits and full amount upon close of jobIn warranty part orderingOut of warranty part orderingNew system ordering Scheduling with pick up person for part and system pick up and then delivery to job siteWarranty claim submissions with manufacturers - monitor progress until claim is paid and then close - This could include returning old parts back to supplierMaintaining log of all parts/system invoices, warranty informationCity/County permitting application to scheduling for final inspectionDaily cash/check reconciliation against software system for proper closures of all activities and invoicesA/C receiving aging and follow upDaily flag assignments and daily follow up with staff for proper closures of flags in timeCustomer follow up after service and promote for reviews towards customer satisfactionPushing for Up selling and cross selling other services - Duct and Dryer Vent Cleaningmanage customer service, relation and bringing more revenue Required knowledge, skills and abilities:
- Minimum of 1 year HVAC office experience, with at least ONE year management experience
- Technically adept in all areas of accounting and financial management including, financial analysis, budgeting, reporting and risk assessments.
- Knowledge of and experience with policies, procedures, and sound systems of internal controls.
- Quantitative financial analysis experience.
- Ability to analyze financial data and prepare financial reports, statements and projections.
- Strong computer skills including knowledge of computer financial applications and proficiency in Word, Excel, PowerPoint and Access.
- Proficient use of accounting systems including AP, AR, GL and Inventory.
- Background in building a team culture through recruitment, motivation, and training of staff.
- Excellent verbal and written communication skills as well as excellent interpersonal skills.
- Valid driver's license and a clean driving record.
- Ability to pass a background check and drug screen.
Educational/certification requirements:
- Associate degree or equivalent work experience.
