A successful private equity firm that has been in business for 30 years is looking for an Executive Assistant to support 4 senior level managers. The role is hybrid-4 days in office and 1 day remote.The office is one block from Carnegie Hall and 3 blocks from Central Park.
About the Job:
Document unit activity
Coordinate meetings and events with multiple managers, as well as external parties.
Manage conferences: attendance and organizing agendas
Process, and track invoices across multiple projects, utilizing proprietary invoicing and approval system
Work with IT team to ensure technology and hardware is functioning properly at all times
Assist with preparation of presentations
Generate and distribute reports
Gather data relevant to projects
Create administrative practices to ensure efficiency and consistency within the office
Order and replenish office and kitchen supplies
Ensure guests are logged into entry system as needed for visits
Assist in securing security badges at the office site, ensuring compliance with company standards
Set up new accounts on various vendor websites, such as Staples and FedEx
Research hotels near office in New York and Coral Gables and find discounts
Procure food/refreshments for meetings, including identifying and engaging new and existing providers
About You:
Minimum of 6 years of experience in a related support position
BA/BS from a college or university a plus
Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
Dynamic and proactive comfortable in a fast-paced environment.
Polished, professional demeanor
Proactive go-getter; no task is too big or too small
Outstanding communication skills
