Job Description:

We are looking for a Full-Time LA-based Personal Assistant to assist a CEO. This is a hybrid role, remote & in-person in West Hollywood. Remote hours are flexible as long as the work gets done, in-person hours will vary. This role involves a unique blend of personal and professional responsibilities, offering an immersive experience in the executive's day-to-day operations. Ideally, you're bright, personable, articulate, and proactive, with exceptional problem-solving skills and experience in supporting executives or creatives in a similar sector. You would support this executive in managing his home, managing meetings/interactions with multiple actors in the creative sector, and providing other related support. Primary Responsibilities:

  • General Personal Assistant Duties: Including but not limited to shopping & deliveries, travel arrangements, grocery & inventory management,meal planning, gifting,and supporting all personal & business functions.
  • Property Management & Airbnb: Responsible for managing the executive's property, service providers that carry out duties at the properties and ensuring efficient operations. Managing all packages delivered to property and ensuring that these items are stored properly.
  • Vendor Liaison: Responsible for coordinating communication with vendors and ensuring that their duties are executed to the required standards
  • Creative Projects Support: Coordinating with creative teams, managing project timelines, or handling communications around these projects.
  • Personal Brand Management: Assisting in the management of the executive's personal brand, which could involve social media management, coordination with PR agencies, or content creation.
  • Event Planning: Planning and managing both personal and industry events, including screenings, community, house events, premieres, and launches.
  • Public Relations: Coordinate with the executive's public relations team to arrange interviews, press releases, and media appearances.
  • Mail Management: Responsible for cataloging and sorting through all mail received. You would then be responsible for advising on the action to take based on the content of relevant mails.
  • Reminders: Cataloging all the key recurrent activities that the executive needs to perform for his personal well-being and executing an efficient reminder system that ensures they get done.
  • Bookkeeping & Budgeting: Responsible for tracking all house expenses and budgeting for each period
  • Driving: Occasional driving of the executive
  • Travel Requirements: Available to go on trips with the executive, when required, and provide organizational support. The executive might need occasional assistance with packing and unpacking when traveling.
  • Automobile Maintenance: Overseeing vehicle maintenance or repair and ensuring that all DMV documents are valid
  • Administrative Tasks: Occasional scanning or printing of confidential/private documents belonging to the executive and doing minor research to help with any urgent need.
  • Miscellaneous Tasks: Performing various errands around the city including pick up and drop offs at the dry cleaners, pharmacy, clothing store, post office etc.
Requirements:
  • 3+ years of personal assistant experience
  • Extremely organized, proactive, and self-sufficient
  • High emotional intelligence
  • Ability to manage interactions with different people from multiple cultural backgrounds with ease
  • Great communication and people skills
  • Flexible, adaptable, efficient and able to anticipate the needs of the executive
  • Ability to work with a fast paced executive and not easily overwhelmed
  • Holder of a valid driver's license in Los Angeles and has a car for mobility
  • Available to travel on trips when required
Salary: $70k + benefits
