General Description

The City of Madison Streets Division seeks qualified candidates for the position of Information Clerk. This position performs routine and responsible administrative support work in processing office records, data, and materials based on the needs of the Streets Division.This position also provides information to the public and responds to complaints and requests for information on services of the Streets Division. Work is characterized by ongoing responsibility for assigned support activities and is performed under the general supervision of the Streets General Supervisor.

This position is scheduled for 38.75 hours per week. Regular work hours are Monday through Friday, 7:30 am to 4:00 pm.

Employees may be eligible for loan forgiveness through the Public Service Loan Forgiveness Program.

Examples of Duties and Responsibilities

Customer Service

* Provide information about Streets Division program policies and procedures

* Respond to customer requests and complaints in-person and by phone

* Assist public in completing forms and applications

* Perform data entry

* Perform related filing of records

Administrative Support

* Process records, materials, and information

* Prepare records, reports, and correspondence

* Maintain records and totals of materials and tonnage collected

* Maintain daily, weekly, monthly, and annual totals reports

* Process and distribute mail and other materials

* Schedule appointments as needed

* Perform monetary transactions

* Collect fees for large item/appliance stickers

* Issue receipts for cash transactions

General Streets Division Office Duties

* Operate two-way radio

* Dispatch calls/requests/complaints to field crews

* Prioritize and process multiple concurrent transactions

Other Duties

* Assist with special projects as necessary

* Perform related work as assigned

Minimum Qualifications

* Two (2) years of responsible administrative experience, at least six (6) months of which must have involved customer service work.

* OR-

* Two (2) years of experience in applying the following:

* General clerical methods and procedures.

* Office terminology and equipment.

* Reception protocol and quality customer service techniques.

* Departmental policies, procedures, and functions.

* Computer software applicable to the position, such as Microsoft and databases; AND

Familiarity with confidentiality practices.

* OR-

* Associate's (or higher) degree from an accredited college or university.

Special Requirements

Ability to meet the transportation requirements of the position.

Physical Requirements:

Employees will spend a majority of time operating a desktop computer and telephone. Employees may also have significant public contact and will be expected to provide excellent customer service.
