Job Title: Inside Sales Support Specialist (Full-Time, In-Office)

Reports To: Director of Sales

Job Summary:

We are seeking a motivated and detail-oriented Inside Sales Support Specialist to join our dynamic sales team. As a full-time, in-office team member, you will provide vital administrative and sales support to ensure the smooth functioning of the sales process. You will be responsible for assisting the sales team with customer inquiries, order management, and maintaining CRM data. This position is key to supporting overall sales efforts by managing day-to-day operational tasks and delivering exceptional customer service.

Key Responsibilities:

Sales Support & Administration:

  • Provide timely and effective support to the sales team by preparing sales documents such as quotes, proposals, and contracts.
  • Assist in the management and processing of sales orders, ensuring accuracy and timely submission.
  • Coordinate with cross-functional teams, including marketing, logistics, and customer service, to ensure seamless communication and follow-up on orders.
  • Maintain accurate records of sales activities, customer interactions, and orders within the company's CRM system.

Customer Communication:

  • Serve as the primary point of contact for incoming sales inquiries, providing prompt responses and directing inquiries to the appropriate sales representatives.
  • Assist customers with product information, pricing, availability, and order status updates.
  • Address customer concerns and escalate issues to the appropriate team members to ensure customer satisfaction.

Order Processing & Fulfillment:

  • Work closely with the sales team to manage the entire order cycle, from initial customer inquiry to order fulfillment and delivery.
  • Coordinate with the warehouse, shipping, and operations teams to ensure orders are processed efficiently and meet customer expectations.
  • Track and monitor the progress of sales orders, resolving any issues related to order fulfillment, shipping delays, or product discrepancies.

CRM & Data Management:

  • Update and maintain customer information, leads, and opportunities in the CRM system to ensure data accuracy.
  • Generate reports on sales activities, pipeline progress, and key performance metrics for management review.
  • Analyze customer trends, order histories, and feedback to provide insights for future sales strategies.

Sales Team Coordination:

  • Support the sales team with scheduling meetings, setting up presentations, and preparing sales materials.
  • Assist with sales training sessions, product launches, and promotional campaigns.
  • Help manage calendars, meeting agendas, and other administrative duties as required by the sales team.

Market Research & Lead Generation:

  • Conduct research on potential leads, industries, and competitors to assist the sales team in identifying opportunities.
  • Collaborate with the marketing team to qualify leads and develop strategies for targeting new customers.
  • Monitor market trends and report findings that could impact sales strategies.

Qualifications:

  • Bachelor's degree in Business, Marketing, or a related field preferred.
  • 2+ years of experience in a sales support, inside sales, or administrative role within a sales department.
  • Proficiency with CRM software (e.g., Salesforce, HubSpot) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a collaborative sales team.
  • Experience in B2B sales or the industry relevant to the company's products/services is a plus.
