Job Description:
W&M Fire Protection is a full-service fire protection contractor with complete design, installation, and fabrication capability. W&M has proudly served the tri-state and New England areas for over 30 years and offers a challenging and rewarding work environment.Due to continued growth, we are looking for an Inspection and Service Coordinator to join our team in Plantsville, CT. As the Inspection & Service Coordinator, you will work closely with the customers, keeping them up to date on the job and answering questions regarding the job, and any services or inspections that are needed.JOB RESPONSIBILITIES:
  • Maintains job schedule for all field personnel. Scheduling with customers.
  • Opens new service jobs in the system, or assist salesperson in opening, to ensure correct information has been entered to accurately bill and maintain the job.
  • Assists in obtaining information needed for each job such as, PO#'s, tax-exempt forms, insurance certificates, utilization reports, credit applications and certified payroll information.
  • Works closely with the customer concerning updates on the job, questions on invoices and/or the receiving of service calls and emergency calls, if needed.
  • Maintains an accurate database, ensuring that all customer information is correct.
  • Enters employee and service technicians weekly time into the payroll system, ensuring accuracy.
  • Scans and uploads all necessary documents into each customer folders/files within the electronic document storage system.
  • Tracking purchase requests and material deliveries for jobs.
  • Assists with special projects and other duties as assigned.
  • Answer phones.
QUALIFICATIONS/ EDUCATION/ EXPERIENCE REQUIREMENTS:
  • Associate degree preferred
  • Minimum of 2 years of previous experience in a service department
  • Customer service experience
  • Strong customer service skills
  • Ability to read, analyze, and interpret general business procedures and regulations
  • Able to define problems, collect data, establish facts and draw valid conclusions
  • Able to use research tools to resolve customer complaints
  • Exceptional accuracy to and attention to detail
CERTIFICATES, LICENSES, REGISTRATIONS:
  • Valid State Driver License
  • Notary a plus
