General Summary Of PositionUnder the general supervision of the Unit Manager, the Intake Assistant will serve as a resource to Health Care Finance SOlutions (HCFS). This individual will ensure the integrity of collection outcomes by assessing the Intake operational needs of the Unit, in accordance with applicable statutes and regulations.Major Responsibilities
- Provide administrative support for the Unit or Program.
- Enter new case information in database by creating and maintaining case files with all relevant documents.
- Generate all necessary requests for information on cases.
- Request and produce all necessary information and reporting relevant to case. Prepare and copy case files for referral to applicable state agencies and other stakeholders (ie EOHHS, Medicaid, etc. ).
- Triage all telephone calls using judgment in responding and/or referring calls to Specialists or other Units.
- Review, sort and distribute all correspondence in a timely manner.
- Assist the Manager in the preparation of statistical and operational reports.
- Responsible for completion of all cases in designated case tracking management work queues and distribution of correspondence to the appropriate parties.
- Validate incoming data ensuring the information received from outside sources meets the required unit standards before being entered into the Case Tracking System.
- Respond to requests for information from all involved parties. .
- Oversight of document management systems to include scanning of all documents through a variety of scanning tools (i.e., Right Fax, Adobe, etc.) and uploading to designated cases in the Case Tracking System.
- Assist the Unit Manager with the implementation of Unit projects and initiatives.
- Perform other job-related duties as required.
Required Qualifications
- Associate's degree or equivalent experience
- 3 years related experience
- Experienced legal or administrative assistant
- Proficient in Microsoft Office Applications
- Web-based fax, document indexing and document uploading applications
- Strong customer service skills and attention to detail.
Preferred Qualifications
- Medical and Legal Terminology
- Familiar with Medicaid operations, policies and procedures pertaining to Casualty Recovery, Estate Recovery, Lien Verification, Third Party Liability , Probate Courts and Registry of Deeds
