Job Title: International Shipping SpecialistReports To: The Client Service Supervisor will report to the Client Service Manager, Client Manager, Client Director, or equivalent leadership.Job Overview: The International Shipping Specialist provides exceptional mail and shipping/receiving services, delivering operational functions in the following areas: processing of inbound/outbound mail, distributing/delivering of mail, shipping and receiving products and supplies to support the onsite business service center in a timely manner. Overall, this position continuously offers the highest level of service to all clients and SPS employees while maintaining a professional image of the company by providing prompt, courteous, and efficient service.Key Responsibilities:International Shipping Management: Oversee and manage all aspects of international shipments for the assigned region, ensuring timely and efficient delivery of goods in compliance with global regulations and standards.Internal and External Communication: Act as the primary point of contact for internal teams, clients, and shareholders regarding international shipping matters. Facilitate clear and effective communication to resolve issues, provide updates, and ensure alignment with shipping objectives.Technological Integration: Utilize advanced shipping and logistics technologies to streamline operations and track shipments.Guidance and Support: Provide expert guidance on international shipping strategies, best practices, and compliance requirements. Assist in the development and implementation of shipping policies and procedures to optimize efficiency and mitigate risks.Problem Solving: Address and resolve complex shipping issues, including delays, customs complications, and logistics challenges. Implement corrective actions and preventative measures to minimize disruptions.Duties and Responsibilities:Provides 5-star customer service to all employees (in all forms of communication).Receives goods and verifies the quality and count of all items unloaded from trucks and trailers; checks against suppliers count and immediately reports discrepancies to carriers, supervisor, and purchasing officer per company policy.Verifies and records all items loaded for shipments.Carefully and accurately maintains shipping records for requested categories including goods returned, dunnage, and returnable pallets.Maintains database of shipment data to ensure that customer orders are updated and that appropriate billing documents are provided to accounting or other associated departments as required.Notifies supervisor of major discrepancies, over-shipments, or substitutions.Prepares bills of lading and dray tickets for shipments.Completes information on damage claims for in-transit damage.Transports materials on shipping dock with a hand truck or other vehicle as needed.Loads trucks or railroad car using a forklift.Receives inbound mail/packages and sorts incoming mail and inputs into chain of custody software package.Operates mail machines including the postage meter, photocopying machine, and mail folding and inserting machine.Maintains records of receipt, mailing dates, and other required information.Manages outgoing mail/package transactions.Notifies employees upon receipt of inbound deliveries.Distributes mail/packages to company personnel.Acts as point of contact for company personnel on mail/package inquiries.Submits work orders for certain requests.Monitors level of office supplies on the floor and replenishes and orders accordingly.Proactively seeks out additional work during downtime.Builds professional relationships with customers and other teams.Maintains professionalism and composure when interacting with all employees.Trains back-up and provides guidance on policies and procedures.Determines what additional support is needed when handling sensitive inquiries.Provides exceptional customer service to clients.Provides reception or concierge (front of office) or hospitality (back of office) coverage as needed.Strong verbal and written communication skills.Ability to handle multiple tasks simultaneously.Good organizational skills.Working knowledge of MFD equipment.Requires knowledge and understanding of shipping/receiving procedures and ability to comprehend instructions.Possesses ability to work independently and capable of completing projects.Ability to determine correct method and packing material as well as validate packing slips for accuracy of incoming and outgoing materials.Qualifications and Education Requirements:High School Diploma (or equivalent) required.1-2+ years prior work experience preferred.Background in International Shipping required.Knowledge of international shipping and trade compliance regulations.Web-based shipping software of all major carriers: FedEx, UPS, DHL, etc.Shipping documentation: commercial invoices and packing lists.Trade compliance regulations and codes: ECCNs, Schedule B/HTS, License Codes, Denied Party Screening and EEI Filings.Exceptional people skills and customer service.Ability to work assigned work hours determined by manager.Excellent organizational and time management skills.Analytical abilities and aptitude in problem-solving.Superb written and verbal communication skills.Current knowledge or ability to learn computer-based systems required for functions of position.Required to maintain an overall professional appearance and attitude.Adhere to all policies and procedures required.Physical Demands:Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs.Ability to walk, bend, kneel, stand, and/or sit for an extended period of time.Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc.).Ability to communicate and discern information effectively with onsite staff using vision, hearing, and oral/written comprehension.Physically able to talk on the phone and input data simultaneously.Ability to lift or move 40 lbs. or greater frequently.Specific vision abilities required by this job include close vision, distance vision, ability to adjust focus and ability to match or may include detection of differences between colors, including shades of color and brightness.Must be able to work in a variety of weather conditions and temperatures in the warehouse and on the loading dock.Travel: None or NegligibleOther Duties:This job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
