Job Description:

Position Overview: Southern Air is seeking a detail-oriented and proactive Inventory and Purchasing Specialist to join our dynamic team. This role is pivotal in executing and optimizing our inventory and purchasing processes, ensuring accuracy, efficiency, and strong vendor relationships. The ideal candidate will have a robust proficiency in Microsoft Excel, enabling them to effectively analyze data, manage reports, and streamline inventory processes. A keen eye for detail, excellent organizational skills, and the ability to handle multiple tasks effectively are essential for success in this role.

Compensation: $45,000 - $58,000 per year (based on knowledge/experience)

Key Responsibilities:

  • Purchasing
    • Serve as the subject matter expert on purchasing processes, assisting locations with requisition preparation and processing.
    • Convert requisitions to purchase orders, ensuring compliance with established procedures and vendor requirements.
    • Build and maintain strong vendor relationships, incorporating pricing updates and correcting purchase orders based on feedback.
    • Ensure accuracy in accounting and valuation by adjusting purchase orders based on vendor feedback.
    • Maintain item master data in accounting software, including importing and updating items and communicating changes to locations.
  • Inventory Management
    • Travel to different locations to assist with interim and annual cyclic inventories.
    • Compile and verify the accuracy of monthly equipment, materials, and truck stock reports, ensuring alignment with the company balance sheet and addressing any discrepancies.
    • Answer questions from locations regarding report submissions and deadlines, ensuring timely and accurate reporting to management.
  • Acquisitions
    • Solicit and manage vendor lists from newly acquired locations.
    • Ensure vendor list accuracy in accounting software, including importing vendors and verifying tax IDs.
    • Prepare and distribute vendor notification letters.
  • General Responsibilities
    • Respond promptly to management requests and complete all assigned tasks.
    • Perform other duties as assigned by management to support the department and company objectives.

    Qualifications:

    • Proven experience in inventory management, purchasing, or a related field.
    • Proficiency in using inventory management software and financial systems such as Intacct.
    • Advanced proficiency in Microsoft Excel, including the ability to create and manage complex spreadsheets, perform data analysis, and generate detailed reports.
    • Strong organizational and analytical skills with attention to detail.
    • Excellent communication and interpersonal skills, with the ability to build and maintain effective vendor relationships.
    • Ability to travel to various locations as required.
    • High school diploma or equivalent; Associates or Bachelors degree in Business Administration, Supply Chain Management, or related field is preferred.
