Overview:

The Inventory Control Analyst & Purchasing Agent is responsible for managing and optimizing inventory levels of cleaning solutions, materials, and equipment for LCS Facility Group. This dual role involves analyzing inventory data, forecasting demand, managing procurement processes, and implementing inventory control strategies to minimize costs and maximize efficiency. The position reports to the CFO and has dotted line reporting to the VP of Operations and Operations Director.

Key Responsibilities:

1. Inventory Management:

* Monitor inventory levels of cleaning solutions, materials, and maintenance equipment.

* Maintain accurate records of inventory, including receipts, usage, and disposals.

* Conduct regular physical inventory audits and reconcile discrepancies.

2. Data Analysis:

* Analyze inventory data to identify trends, patterns, and areas for improvement specific to facility maintenance needs.

* Generate reports on inventory status, turnover rates, and stock levels for cleaning supplies and equipment.

* Use statistical and forecasting methods to predict future inventory needs based on historical data and upcoming projects.

3. Demand Forecasting:

* Collaborate with facility managers and maintenance teams to understand demand for cleaning solutions, materials, and equipment.

* Develop demand forecasts and adjust inventory strategies accordingly to ensure continuous supply.

* Monitor market trends and adjust inventory levels to meet changing demand for cleaning and maintenance supplies.

4. Supply Chain Coordination:

* Work closely with suppliers and logistics teams to ensure timely delivery of cleaning solutions and maintenance materials, optimizing order quantities and timing.

5. Purchasing Responsibilities:

* Develop and manage the company's purchasing strategy for cleaning solutions, materials, and equipment.

* Source and evaluate suppliers, negotiating contracts and terms to secure the best possible pricing and quality.

* Issue purchase orders and ensure timely delivery of products and services.

* Maintain relationships with key suppliers and vendors to ensure reliable supply chains.

6. Cost Management:

* Identify opportunities to reduce inventory holding costs for cleaning solutions and maintenance materials.

* Implement strategies to minimize excess and obsolete inventory specific to the maintenance industry.

* Optimize storage and distribution costs for cleaning supplies and equipment.

7. Technology and Systems:

* Utilize inventory management software and systems to track and manage inventory of cleaning solutions, materials, and equipment.

* Ensure data accuracy and integrity within inventory systems specific to facility maintenance.

* Stay updated on new technologies and tools for inventory management in the facility maintenance sector.

8. Collaboration with Operations Leadership:

* Work closely with and provide regular updates to the VP of Operations and Operations Director on inventory status, purchasing activities, and performance metrics.

* Align inventory and purchasing strategies with operational goals set by the Operations leadership.

* Participate in strategic planning meetings and contribute to the development of long-term inventory management and procurement strategies.

9. Reporting and Financial Oversight:

* Report directly to the CFO, providing detailed inventory and purchasing reports and financial analysis.

* Assist in budget planning and cost control measures related to inventory and procurement.

* Ensure inventory and purchasing practices comply with financial regulations and company policies.

Position Requirements

Qualifications:

* Education:

* Bachelor's degree in Supply Chain Management, Business Administration, or a related field.

* Experience:

* 2+ years of experience in inventory management, supply chain management, procurement, or a related field, preferably within the facility maintenance industry.

* Experience with inventory management software and ERP systems.

* Skills:

* Strong analytical and problem-solving skills.

* Proficiency in Microsoft Excel and data analysis tools.

* Excellent organizational and time management skills.

* Strong communication and interpersonal skills.

* Negotiation and vendor management skills.

Working Conditions:

* Office environment with occasional visits to warehouses or maintenance facilities.

* May require occasional travel to supplier or client locations.
