The Foodlink Way Act With Compassion Take Responsibility Be a Team Player Listen, Learn, Adapt Job Title: Inventory & Data Specialist Department: Distribution Center Operations Reports to: Director of Operations Status: Full time, Hourly, Non-exempt Job Level: #7 Specialist Updated: September 2024 SUMMARY Foodlink receives over twenty million pounds of food on an annual basis. The Inventory Specialist is responsible for all elements of inventory control and operational reporting for the food bank. They are responsible for daily oversight of the Foodlink's inventory management program including reporting, auditing, and process improvements to improve inventory accuracy. KEY RESPONSIBILITIES

  • Creates and maintains inventory policies and procedures to ensure compliance including shipping, receiving, and order picking operations.
  • Conducts regular and random audits, including physical counts, and generates reports to ensure accurate inventory on hand in the Distribution Center.
  • Analyze inventory data, including on-hand and turns, and present to procurement team for strategic purchasing.
  • Responsible for the creation and distribution of required reports for the organization on a daily, weekly, monthly, quarterly, and annual basis.
  • Assists with the creation of new donors/vendors and performs final audit to ensure accuracy and compliance.
  • Assists with the creation of new item codes and performs final audit to ensure accuracy and compliance.
  • Creates Jet Reports as requested by staff for the organization.
  • Analyzes and process the Shorts & Cuts journal required for inventory management.
  • Oversees and coordinates inventory managements processes including dead tag, reconciliation, and weekly cycle counts for all storage types in the Distribution Center.
  • Leads the communication with the Office of General Services (OGS) team including coordination of entitlement and bonus USDA loads, ordering through WBSCM portal, and ensuring accurate reporting.
  • Leads collaborative inventory management meeting with Director of Operations and Distribution Center Manager.
  • Supports Finance team in period closure and financial report preparation.
  • Plans, coordinates, and leads the fiscal year end full inventory count.
  • Coordinates and supports required inventory audits.
  • Utilize Tableau and Jet Reports software to create reports and data visualizations for the organization.
Requirements QUALIFICATIONS
  • Associate or bachelor's degree with concentration in business administration, supply chain, inventory management, finance, math, or other job-related courses.
  • 3-5 years of professional experience in job-related positions.
  • Ability to apply financial concepts to inventory control, budgets, payroll, auditing, etc.
  • Ability to communicate clearly and concisely verbally and in writing.
  • Experience and/or comfort working in a warehouse environment and knowledge of basic safety standards.
  • Proficiency in use of Microsoft software applications including Word, Excel, and database knowledge.
  • Ability to draft reports and business correspondence and to effectively present information and respond to questions from managers, agencies, customers, and the public.
  • Meticulous with strong organization, administration, and time management skills.
  • Fluency in English required. Knowledge of Spanish is helpful.
  • Able to work in a team environment.
  • Ability to analyze data and present visualizations for business decision-making.
  • Knowledge and experience with Tableau and Jet Reports preferred.

Foodlink covers 100% of individual health and dental insurance with the ability to acquire family coverage with pretax dollars. In addition to generous paid time off (PTO), we observe 14 paid holidays throughout the year. Opportunity to contribute to a 401k retirement savings plan upon hire. Eligible for generous employer match after 1 year of service.
