Invoice Specialist Opportunity Summary:

As an Invoice Specialist at Power Product Systems, you will be responsible for the processing of work orders into invoices, reviewing invoices for accuracy, follow-up, and correction of discrepancies.

Job Duties:

  • Input all work orders from the field into the Yes Software System, ensure all information transferred from the VDO to the invoice is correct, concise, and presented professionally and all parts are inputted. Alert Inventory Control Specialist of any parts problems.
  • Verify that all PM and DOT are billed separately from repairs and are coded as PM or DOT before closing.
  • Verify that all internal stock and truck stock parts are billed to the invoice with the correct part number and pricing.
  • Insure that all Technician recommendations are inputted into the Recommend Log.
  • Insure that technician's initials are on each repair for invoices requiring multiple technicians.
  • Input all sublet vendor invoices applying the proper markup and maintaining a copy with the invoice office copy.
  • Parts errors.
  • Accuracy on PM pricing, including all filters, quantity of oil, fluids, and technician recommendations.
  • Accuracy in spelling, vehicle information, mileage, and all applicable customer information.
  • Accuracy in work order repair hours, service calls, travel, and zone hours
  • Accuracy in sublet or sub-contracted service.
  • Process all invoices daily.
  • All invoices that have been closed will be forwarded to the A/R department daily.
  • Review data in the existing database to identify problems, including errors in any fixed or type pricing levels, and notify Service Support Coordinator as needed including any problems noted with the Yes System or any other computer problems.
  • Stay abreast of any customer, personnel, or DFS policy changes that may affect invoicing, pricing, or the database.
  • Provide service support to the Service Department.
  • Any customer billing questions should be deferred to the Financial Administrator.
  • Any customer technical or repair quality concern questions regarding the customer's invoice should be directed to the Lead Dispatcher.
  • Provides backup as necessary for the Administration Department.
  • Provide administrative support as assigned.
  • Perform other duties as directed.

Work Experience & Qualifications:

  • Strong interpersonal/customer service skills
  • High School diploma (or GED/High School Equivalence Certificate)
  • 2+ years' experience in data entry and business environment
  • Some mechanical experience or knowledge of terminology a plus
  • Proficiency in computer-related skills, including fleet management software and Microsoft Office Suite (Excel, Word, and Outlook)
