The pay rate will vary based on skills, experience, and location.Job Summary:We are looking for a Junior Document Management Specialist with at least 1 year of experience to join our team. The ideal candidate will help implement and administer our enterprise-wide document management system (DMS) and ensure the organization's electronic records and documents are efficiently captured, stored, retrieved, shared, and destroyed according to regulatory and organizational policies. This role is essential for supporting effective document management practices that enhance collaboration, compliance, and data integrity across the organization.Key Responsibilities:
- Document Management System Administration: Assist in the implementation and administration of the organization's document management system to support efficient document capture, storage, and retrieval processes. Maintain system configurations and ensure DMS functionality aligns with organizational needs.
- Electronic Document Capture and Storage: Implement best practices for electronic document capture, indexing, and storage to ensure accessibility and ease of retrieval for users across departments. Support the development and maintenance of digital filing structures to ensure consistency and adherence to organizational standards.
- Document Retrieval and Sharing: Facilitate efficient document retrieval and sharing across teams, ensuring data is available to authorized users while maintaining strict confidentiality and security measures. Respond to user requests for document access and assist in troubleshooting any access issues.
- Document Retention and Disposal: Implement procedures for compliant document retention and destruction, following organizational policies and regulatory guidelines. Assist in monitoring document lifecycle processes to ensure timely and compliant disposal of obsolete records.
Qualifications
- Minimum of 1 year of experience in document management or records management, preferably with an enterprise-level DMS.
- Basic understanding of document management principles, including lifecycle management and regulatory compliance.
- Proficiency with document management software and Microsoft Office Suite.
- Strong attention to detail and organizational skills, with the ability to manage multiple tasks and meet deadlines.
- Excellent communication skills and a collaborative, team-oriented mindset.
Preferred Qualifications:
- Experience with document management software solutions such as SharePoint, DocuWare, or similar platforms.
- Knowledge of information security practices and document retention standards.
Education:
- Associate's degree in Information Management, Library Science, or a related field (or equivalent experience).
Clearance Requirement:
- Must be a US Citizen
- Must have an active Public Trust or have the ability to obtain one.
