Position Number: 21012499 Salary: $43,500.00 Posting Closing Date: 10/18/2024 Total Compensation Estimator Tool ( JAC Job Advertisement Document Control Coordinator Our Organization and Mission: The Justice Administrative Commission (JAC) administratively serves 49 judicial-related offices (JROs) including the 20 Offices of State Attorney, 20 Offices of Public Defender, 5 Offices of Criminal Conflict and Civil Regional Counsel, 3 Offices of Capital Collateral Regional Counsel, and the Statewide Guardian ad Litem Program. Services provided are primarily in the areas of accounting, budget, financial services, and human resources. JAC also performs compliance and financial review of court-appointed attorney and due process vendor bills. More information about who we are can be found at The Work You Will Do : JAC is seeking a candidate to serve as the Document Control Coordinator. This position is located in the Operations Section of JAC and reports to the Director of Operations. The person in this position works closely with staff from JAC as well as staff from the agencies we administratively serve. Duties of this position include, but are not limited to: Monitor incoming batch sheets that are electronically received from the Judicial Related Offices (JROs), and other customers, performing quality control checks on those documents in JACs electronic document management system (Laserfiche). Input tracking data for different document types and process incoming checks. Enter and update, as required, all property items that need to be entered into JACs asset management system (currently BOMS) following established policies and procedures. Conduct the annual physical inventory for all of JACs property items in accordance with s. 69I-72.006, F.A.C. Coordinate disposal of surplus inventory in accordance with established procedures Perform research to obtain initial quotes for goods and services as requested by the Director of Operations. Perform research to resolve problems or answer questions related to JRO and vendor payments Serves as the backup Zoom technical host responsible for monitoring and resolving any technical issues that may arise during a meeting Check calendars daily and set conference rooms up as needed. Make scheduled rounds to other state agencies and to other locations as required. Communicate with staff from the JROs, as needed, regarding the delivery of outgoing mail and packages. Build and maintain a working relationship with all JAC sections and external sources Manage postage and shipping needs including account funds and shipping materials Utilize specialized software to create and manage shipping for packages sent via FedEx and UPS. Maintain a high level of confidentiality and trust due to the types of documents processed. Process all outgoing mail using agencys postage meter for USPS mail Create and analyze monthly postage and shipping reports Pick up and receive, sort, process, and distribute all incoming mail. Check agency copiers on a regular basis. Report any problems and distribute copy paper to the different sections within JAC as needed. Serve as primary backup coverage for JACs phones Serve as backup for Risk Management and Workers Comp The Difference You Will Make : The candidate selected to fill this position will play an important role in helping the agency achieve its mission by helping to ensure that agency assets are entered into the asset management system accurately and that incoming mail (physical and electronic) is processed in an accurate and efficient manner. You will also help by answering the agencies phones in a professional and courteous manner and by ensuring that the agencies conference rooms are ready when needed.
