DESCRIPTION: Under limited supervision, performs moderately complex and non-complex clerical work utilization of keyboarding typing skills, standard, and advanced office operational tasks, ensuring smooth running of the office, answer and screen phone calls and walk in clients and provide answers to general questions; manage the overall office calendar and day-to-day schedule; scanning of various materials within the office for retention purposes, researches various archived materials, creates, formats, reproduces, corrects, adjusts and prints a variety of written material; key enters/types correspondence, documents including flyers, brochures, reports, charts and other materials on a computer console, typewriter, or other key entry device used by the agency; oversight and day-to-day responsibilities, planning and attendance at special events, including evening and weekends, organizing filing systems and special projects, and assist with the processing of interments at the cemetery, does other related duties, as required, for the good of the office. EXAMPLES OF WORK:
- Key enters or types a wide variety of text materials from detailed instructions, pencil copy, rough notes, or other sources to produce flyers, brochures, correspondence, technical, statistical, and other reports, memoranda, and other documents into draft or final form according to prescribed formats.
- Detail oriented, good organizational and time management skills. Accuracy is a must.
- Creates and prepares information on forms, form letters, or other like documents.
- Edits, proofreads, and performs spelling or grammar checks to ensure typographical accuracy.
- Organizes assigned work and develops effective work methods to meet deadlines and work criteria.
- Provides information in person or over the telephone; refers the more difficult inquiries to supervisor. Candidate must have the ability to answer phone lines and wait on incoming guests simultaneously and in a timely and proficient manner.
- Responsible for ordering supplies and materials, utilization of the Edmunds Software.
- Process and organize scanned documents in various formats for retention on network and local drives.
- Key enters or types technical, scientific, financial, statistical, and other statements, reports, certificates, correspondence, memoranda, payrolls, vouchers, purchase orders, charts, forms, tabulations, bills, contracts, specifications, case records, manuscripts, and legal documents from copy, records, tapes, other recording equipment, or other sources.
- Provides guidance and assistance to Veterans and their families.
- Utilizes printers and printing software to produce final documents; may make use of software packages such as standard word processing, spreadsheet, electronic mail (e-mail), adobe and integrated software packages as required.
- May assist in requisitioning, storing, and distributing office supplies.
EXPERIENCE: One (1) year of clerical experience operating an alphanumeric keyboard or typewriter to produce documents such as letters, memos, reports, forms, and other materials. Scanning experience is a plus. LICENSE: Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform the essential duties of the position. KNOWLEDGE AND ABILITIES:
- Computer software skills across multiple platforms, including proficiency in keyboarding or typing and should be familiar with Microsoft Office.
- Knowledge of office routines, equipment, and practices.
- Knowledge of performing difficult typing, keyboarding, or other types of work necessary in producing/reproducing a variety of documents.
- Ability to format, use, and prepare forms, charts, and other documents.
- Ability to comprehend established office routines and department regulations.
- Ability to take initiative, creativity and work independently.
- Ability to organize assigned clerical work and develop effective work methods.
- Ability to make simple arithmetic calculations and tabulations.
- Ability to perform tasks accurately within prescribed time frames.

- Ability to communicate and work effectively with others.
- Ability to operate various types of office machines, such as a keyboard, typewriter, calculator, computer printers, photocopier, fax machine, stamping machine, labeling machine, etc. may perform simple maintenance tasks such as adding toner, paper or changing print ribbons.
- Ability to understand, remember, and carry out oral and written directions.
- Must be able to lift up to 20 lbs. and be able to climb stairs.
SCHEDULE: Monday - Friday, 11:30a - 4:30p RATE: $21.71 per hour EEOC This title is classified and competitive through Civil Service Must be a resident of New Jersey. Preference given to Salem County Residents.
