Job Description:

Position Summary The Kronos Manger has overall responsibility for Kronos Time and Attendance, Kronos Accruals, Kronos Advanced Scheduler, Extensions and all other Kronos modules utilized at WPH. This includes the Kronos system configuration for all modules, new business requirements, system enhancements and UKG upgrades/version rollout. This position is the primary liaison between UKG, HR, Finance, Payroll, Nursing Administration, Patient Care Services, Operations and the Physician Practices. Provides the organization with meaningful metrics, reporting and predictive analytics to identify key strategic issues related to labor and workforce management. This role will require application configuration, interface, testing, deployment, and policy integration and will also interact with and utilize the Meditech platforms. This is a visible individual contributor role which will require both technical acumen as well as exceptional interpersonal skills. This position is responsible for managing two professionals: the Kronos Specialist and the Senior Kronos Specialist. Essential Functions and Responsibilities Includes the Following: Coordinate application administration tasks, including system configuration setting, troubleshooting, and system maintenance. Partner with HR Payroll to facilitate the identification, analysis, and documentation of business needs and requirements; leads the creation of technical specifications, design documentation, and testing strategies for the business requirements. Coordinate and manage all tasks supporting the existing Kronos installation and direct the implementation of all additional Kronos modules and future Kronos upgrades. Function as the subject matter expert for Kronos (Dimensions) Timekeeping, Accruals, and all other Kronos modules used at WPH, including reporting for WPH locations and across the Montefiore Health System enterprise. Establishes and communicates standards for the implemented Kronos modules across the WPH organization. Analyze business needs and the impact of proposed configuration changes and make recommendations to leadership. Anticipates system problems, mitigates disruptions when issues arise, communicates with appropriate UKG/WPH personnel to identify and resolve system issues, keep all parties informed and provide updates and processing work arounds when possible. Interfaces with SLT, Department Managers/Timekeepers, Payroll Staff, Nursing Administration and Leadership in other WPH departments to resolve issues, improve workflow and reporting, streamline processing. Interface with the WPH staff, UKG/Kronos consultants and staff, external consultants, vendors/staffing agencies to establish Best Practices and highlight processes not following established guidelines and industry standards. Develop, maintain/modify WPH policies and procedures to reflect and utilize best practices, and standardize tracking and processing of time entry. Serves as the primary contact person for all Kronos related issues and follow-up with Kronos vendors on issue resolution, bug fixes and new releases, etc. Manage/Coordinate the development, modification, and maintenance of integration/interfaces between Kronos and WPH. Oversees the development of all job aides and training documentation, requirements analysis/definition, data flow diagrams, software/configuration specifications, operational procedures, and other related documentation. Manages the ongoing hardware/software updates for all Kronos clocks and periodically reconciles clock inventory to maintenance agreements/contracts. Summarizes and presents new Kronos functionality and features to SLT, key sponsors and internal Kronos project team. Manages the implementation, processing and ongoing support of all temporary agency staff maintained in Kronos, including the reconciliation and processing of agency staff payroll and related reporting for WPH.Work with current Kronos staff to facilitate the training of new and existing staff. Proactively manage all other Kronos tasks that arise during execution of daily responsibilities. Education Experience Requirements BS degree required. Approximately 3-5 years recent experience with Kronos Dimensions, Dellboomi, Workday, Human Resource and Payroll services. Prior labor management, scheduling and staffing experience highly recommended. Clear understanding of internal pay policies. Analytical and strategic skills to identify issues or inefficiencies and develop solutions. Ability to work in a fast paced environment with minimal supervision. Ability to collaborate and present to executive team, managers and employees. Can draw conclusions and make recommendations from large and/or incomplete data sets. Must have strong knowledge of general business computer system applications (i.e., Microsoft Office Suite). Must have basic computer skills and ability to access internet and other programs applicable to White Plains Hospital procedures.
