Position Information

Classification Title Animal Care Veterinary/Animal Science Paraprofessional/Professional FLSA Non-Exempt FTE 1.0 Minimum Qualifications

Requires technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.

Preferred Qualifications

* Working within a fast paced environment that involves a high volume of phone calls, communicating with clients that may be distressed during the process of dealing with an unwell animal.

* Experience with handling cashier responsibilities while answering phones and entering information into system.

Position Summary

The primary responsibility for this position will be to assist the Large Animal team on setting appointments and receiving emergency patients during evenings, overnights, weekends, and holidays. This incumbent will also answer phones, set up appointments from local referring veterinarians, open patient charts in the hospital database system, and process payments for services.

Knowledge, Skills, Abilities and/or Competencies

* Knowledge of office equipment regarding multi-windows use/diverse software applications, including multi-relational database systems is required.

* Working knowledge of MS office applications, including Word, Excel, Power Point, Publisher and Outlook required.

* Typing speed 35 wpm or higher preferred.

* Proven ability to work in a fast paced environment with multi-tasking abilities while under pressure.

* Excellent communication skills - written and verbal.

* Ability to understand and follow oral and written instructions.

* Punctuality and attendance are critical to fulfill the mission of the organization.

* Lift and carry up to 25 lbs.

* Long periods of standing or sitting.

* Provide and maintain excellent client service by being the initial, and ongoing, point of contact for all Large Animal Clientele.

* Collect owner and patient information for any cases that might be arrive after hours for emergency services for In- Hospital as well as Field Services.

* Appropriately prepare the paper medical record with necessary documents, estimates and history forms.

* Field client calls and answer general inquiries about services provided, estimates, billing questions, payment options and scheduling, etc., via phone and face to face interactions.

* Help collect payment information and deposits for after-hours Field Service emergencies as well as patients being admitted into the hospital.

* Provide point of sale transactions for any clients that are checking out after hours.

* Check in and out patients that are arriving or discharging from the hospital for non-emergent matters.

Percentage of time 60 Duties/Responsibilities

* Make sure that medical records are being processed completely with all pertinent records scanned and archived digitally into VetView.

* Assist Medical Records Manager with cleaning up duplicates or communication flag errors within the electronic medical record.

* Assist with sending deficiency notices of missing medical records requirements to clinicians listed on the case.

Percentage of time 30 Duties/Responsibilities

* Provide additional support and assistance for Small Animal Emergency Front Desk during times of staffing shortages.

* Assist with processing payments and collecting deposits as a back up to the Small Animal Front Desk.
