Orsi Arone Rothenberg Turner, LLP is in need of an Office Manager with experience in accounting, human resources, office management and law and legal services. The ideal candidate will be able to multi-task and handle all Office Management responsibilities listed below. This position is an in-office position in Needham, MA five days per week . Responsibilities:
The Office Manager would be responsible for achieving the following:
- Day-to-Day Operations: Ensure the smooth functioning of all day-to-day operations of the law firm, including managing staff, workflows, and office procedures.
- Front Desk Management: Oversee front desk operations, including scheduling, lunch coverage, absence tracking, and managing email assistance for the team.
- Invoice Processing: Review and process all upcoming invoices; prepare and allocate invoices to relevant accounts and cost centers.
- Monthly Reporting: Prepare and distribute 13 monthly allocation reports, subtenant/of counsel invoices, and process monthly allocations to track firm expenses.
- Expense Management: Oversee firm expenses, prepare expense reports, and ensure timely processing.
- Account Reconciliation: Reconcile back accounts, process all accounts receivable and payable transactions, and ensure previous month's accounts are closed before preparing for the next month.
- Payroll: Manage and process payroll for all staff members accurately and on time.
- HR/Benefits Administration: Handle human resources functions including company benefits, 401(k) administration, and employee-related inquiries.
- Office Supplies & Equipment: Oversee office supply orders and ensure appropriate kitchen and office supplies are stocked and available.
- Record-keeping: Maintain accurate spreadsheets for office expenses and ensure the organization and filling of all business records.
Requirements:
- Education: Bachelor's degree preferred
- Experience: Minimum 3 years of experience working in a law or legal environment, with demonstrated expertise in accounting, office management, and payroll processing.
- Accounting Skills: Strong experience with accounting systems, managing accounts payable and receivable, and financial reporting.
- Time Management: Ability to multitask and prioritize effectively, managing multiple responsibilities without sacrificing quality or efficiency.
- Leadership Skills: Proven ability to delegate tasks, manage staff and maintain an organized, productive office environment.
Additional Requirements:
- Legal Knowledge: Basic understanding of legal terminology, legal procedures, and court systems preferred.
- Software Proficiency: Experience with Microsoft Office Suite (Excel, Word, etc.) and legal management systems (e.g., TABS, Clio, etc.). Familiarity with payroll software and HRIS systems. Experience working with legal billing and timekeeping systems.
- Communication Skills: Excellent written and verbal communication skills; ability to effectively interact with clients, staff and external partners.
- Organizational Skills: Exceptional organization and time management abilities, with a keen attention to detail.
