Chevron is accepting online applications for the position Lead Administrative Assistant through 11/8/2024 at 11:59 p.m. Central Time

Support Chevron Americas Exploration & Production (AEP) Corporate Affairs General Manager, Human Resources General Manager, and respective teams. Support includes scheduling meetings and event logistics, managing multiple team calendars and handling sensitive data. Coordinates individual and group travels, itineraries and logistics. For Corporate Affairs, plans and implements special events, including region, executive, company, employee, volunteer and stakeholder activities. Manages event, catering and other service contracts. Teams with other Americas headquarters, Houston corporate affairs and business unit office assistants to deliver high quality programs and support.

Position provides executive assistant and administrative support with a high level of independence, initiative, discretion, accuracy, and attention to details. Confidentiality in this position is crucial.

Responsibilities for this position may include but are not limited to:

+ Manages implementation of budgets, contracts, sponsorships and events to deliver value to businesses and amplify internal and external partnerships. Track and help manage partner, association and industry relationships. Engage with other Corporate Affairs teams to share best practices and explore for opportunities for alignment and collaboration.

+ Coordinates Outlook calendars, meeting logistics, and domestic and international travel logistics. Prepares detailed itineraries and coordinates agenda and pre-read with appropriate business unit for trips via Teams. Tracks and coordinates business trip requirements (i.e., passport, visas, immunizations, photos, etc.). Tracks and gathers related expenses, compiles expense reports and maintains appropriate documentation.

+ Makes appropriate, informed decisions regarding priorities and appropriate levels of urgency to situations and events that require quick response or turnaround. Maintains effective communications with the Americas Corporate Affairs and Human Resources leadership teams when requesting information on behalf of the VP. Uses discretion to assign action items and follows up for completion. Write and speak in a concise and positive manner that reflects a positive image of the company.

+ Office Support/Coordination: Strong ability to adopt and apply new technology to aid efficiency; Monitors operating expenses monthly; Handles special projects as requested, serve as the primary point of contact for internal and external constituencies on all matters, pertaining to the VP, including those of a highly confidential, personal, or critical nature; Manage external relationships with key stakeholders by interacting in a pleasant, friendly and agreeable manner.

Required Qualifications:

+ High School Diploma or equivalent.

+ Minimum of 3 years administrative experience.

+ Advanced proficiency with Microsoft Office applications, MS Teams, OneNote, CTREX, OneDrive, Excel, PowerPoint, SharePoint, Workplace and Workday.

Preferred Qualifications:

+ Minimum of 3 years executive assistant experience providing direct support to executivelevel management.

+ Strong knowledge of corporate affairs is highly desired.

Relocation Options:

Relocation is not offered for this role. Only local candidates will be considered.

Expatriate assignments will not be considered.
