Summary The incumbent serves as a Lead Medical Support Assistant in the Ambulatory Care Section of Patient Care Services. The Lexington VA Healthcare System has two divisions and four Community Based Outpatient Clinics. Incumbent will be assigned to one of the Community Based Outpatient Clinics (CBOCs) located in Hazard, KY. Responsibilities Duties include but not limited to: Assigning and evaluating the work of subordinate staff and resolving complex problems to ensure patient services are met Evaluating new products, equipment, and systems in order to make recommendations for improved operations Assuring coverage of all areas of responsibility. Conducting ongoing reviews to ensure equality of work. Ensuring accurate and timely scheduling of appointments. Providing guidance to employees to include policy and procedural changes. Distributing and balancing workload. Mentoring new staff through orientation and on-the-job training for new and current employees. Ensuring all training requirements are met. Organizing the work structure of his/her assigned areas. Acting as liaison between MSA and other employees in order to resolve day to day conflicts Identifying educational or training needs, making final decisions on selections, evaluating performance, and taking disciplinary action when necessary Responsible for extracting and analyzing data in order to provide reports in support of performance measures to senior management Work Schedule: Fulltime, 8:00am - 4:30pm, Monday - Friday Telework: Not Available Virtual: This is not a virtual position. Qualifications Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Education or Training: Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR One year above high school; OR Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. English Language Proficiency: MSA's must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: In addition to the basic requirements, you must meet the following grade requirements. GS-07 Lead Medical Support Assistant: To qualify at the GS-7 level, the candidate must possess one year of experience equivalent to the GS-6 grade level. Credible experience at the next lower level includes but is not limited to: ensuring accurate and timely scheduling of appointments; providing guidance to staff members, to include changes in policies and procedures; creating and maintaining employee work schedules; and acting as a liaison among Advanced MSA staff, patients, and other interdisciplinary staff to resolve day-to-day conflicts. In addition to the one-year experience at the GS-6 grade level, Candidates must demonstrate the KSAs below: Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff. Ability to provide staff development and training. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics. Preferred Experience: Previous experience as a Medical Support Assistant preferred Note: You must provide detailed information of your experience performed. The actual grade at which an applicant may be selected for this vacancy is GS-07. Physical Requirements: Operate a computer terminal and be able to manage multiple activities at one time. Work is generally sedentary; however, there may be some walking, standing, bending, and carrying of light items. Work Environment: The work may be stressful due to the accelerated pace for several hours at a time during peak hours or on days that have a large volume of activity.
