The Lead, Operations Support is responsible for leading the operational aspects of client onboarding, including account setup, communication of operational requirements with work flow development and the sales team. Duties include website registration and assigning all needed client components in the system. Additional responsibilities include interfacing with clients as it relates to billing preferences or issues and is also responsible for overseeing the consolidated statement process.
Responsibilities
ESSENTIAL JOB FUNCTIONS
Monitor billing and operational information to ensure procedures are correct and appropriate. - Work in conjunction with Sales Support to onboard new clients, including set up of web accounts, account creation and ongoing maintenance.
- Interface directly with sales team and clients to deliver sales and billing reports as needed.
- Plan weekly/bimonthly and monthly statements, printing and delivery.
- Analyze, investigate and correct client billing or onboarding issues.
- Record and communicate client onboarding or billing issues with management regularly.
- Coordinate preparation and delivery of reports as requested by management.
- Perform all other duties as assigned by Management.
ESSENTIAL LEAD RESPONSIBILITIES
- Carrying out all responsibilities in accordance with the company's standards, policies, and all applicable employment laws.
- In conjunction with management, managing and monitoring workflow and providing support, training, and techniques to assist staff in achieving department daily/weekly/monthly goals and standards.
- Encouraging positive morale, maintaining harmony among staff, and resolving grievances when necessary.
- In conjunction with management, communicating change effectively and supporting those affected by change.
- Evaluating staff performance, providing periodic feedback to staff and reporting any performance concerns and/or recommendations for growth opportunities to management.
Qualifications
- Must have knowledge of Microsoft Office, Word, Excel, and Access.
- Must be highly reliable, self-motivated and directed.
- Ability to analyze and develop solutions for departmental issues.
- Must have knowledge of accounting principles, practices and procedures.
- Must have knowledge and skill in supervisory practices and principles.
- Ability to train and develop subordinates to independently manage their personal responsibilities.
- Must have previous knowledge of computerized accounting systems and applications to include personal computers, general software applications and keyboard facility.
- Must have ability to adapt to changes and absorb new ideas and concepts quickly.
- Skill in performing detailed and complex numerical computations and reports.
- Ability to effectively prioritize and execute tasks in a high-pressure environment.
- Ability to follow all company policies and procedures in effect at time of hire and as they may change or be added from time to time.
LANGUAGE/COMMUNICATION SKILLS
- Ability to read, analyze and interpret common correspondence and records.
- Ability to write clearly and informatively to all required audiences and edit own work for appropriate spelling and grammar.
- Ability to respond appropriately and professionally to all inquiries or complaints from customers, regulatory agencies, upper management, and/or members of the business community.
